Position: Billing Coordinator

Department: Leading Home Care Agency in NH – Office Staff
Reports to: Senior Operations Coordinator, VP of Operations
Pay Status: Hourly
Schedule: Full-Time

Job Summary:

The Billing Coordinator plays a critical role in ensuring accurate, timely billing and reimbursement across multiple states. This position is responsible for managing prebilling processes, maintaining authorization accuracy, researching denied claims, and supporting payroll related billing workflows. The Billing Coordinator ensures services delivered are supported by proper authorizations, plans of care, and compliant documentation, helping maximize reimbursement while reducing administrative delays. This role requires strong attention to detail, comfort working in multiple systems, and the ability to proactively identify and resolve billing holds. The Billing Coordinator will work closely with the intake, clinical and scheduling teams to ensure services are authorized, documented, and billed accurately.

Educational/Professional Experience and Knowledge and Abilities:
· High school diploma or equivalent; associate or bachelor’s degree in healthcare administration, Business Administration, Accounting, or related field preferred
· Minimum 2 years’ experience in medical billing, healthcare revenue cycle, or related administrative healthcare role
· Familiarity with the electronic health records (EHR) systems
· Strong organizational and multitasking abilities
· Strong communication skills with ability to collaborate across departments
· Experience working with Medicaid, VA, insurance, or managed care billing strongly preferred
· Proficient in Microsoft Office Suite
· Experience working in home care, home health, waiver programs, or long-term care a plus
· Ability to adapt to a dynamic and fast-paced start-up environment
· Familiarity with CPT codes, billing codes, and payer requirements

Responsibilities:

Prebilling review
· Clear all issues related to authorizations, plan of care, and miscellaneous billing holds prior to claims submission
· Ensure visits are linked appropriately to authorizations and plans of care
· Monitor caregiver compliance with scheduled visits and report any deviations
· Support resolution of visit time adjustments and provide backup support to office team as needed

Authorization management
· Monitor incoming authorizations and ensure accurate entry into the EMR system
· Maintain up to date authorization records across assigned states
· Monitor the expiration dates on authorizations as assigned
· Rotate state assignments periodically to maintain familiarity across all programs

Billing and payroll coordination
· Review services for billing readiness and accuracy
· Support billing and payroll processes to ensure alignment between authorized services and billed hours

Aging and accounts receivable
· Research denied claims and correct claim issues and resubmit claims in a timely manner
· Monitor aging reports and follow up on outstanding balances

Other responsibilities
· Maintain accurate employee records in state aggregators
· Work collaboratively with Senior Operations Coordinator, VP of Operations and the rest of the office team(s)
· Send outgoing faxes to provider offices when and as requested
· Help to answer incoming calls to the office
· Assist in any other tasks and responsibilities as assigned by the Senior Operations Coordinator or VP of Operations
