Job Summary-

Administrative support for all chief officers, Medical Staff and the Board of Directors. This includes answering phones, managing schedules, ensuring chiefs are prepared for meetings, assisting with document preparation, scheduling Board meetings, completing Board packets, post public notices. 

Minimum Qualifications:

Education:

High School Diploma or equivalent to (REQUIRED).


Experience:

Three years as administrative assistant 

Use of Windows based products including MS Office


Other Qualifications Required:

  • Ability to communicate clearly in both oral and written forms using the English language
  •  Ability to take initiative and use discretion to complete a variety of Executive level communications in a confidential manner
  • Ability to respond to common inquiries or complaints from residents, patients, physicians, peers, regulatory agencies, or members of the business community 
  • Ability to post images and documents within the systems used by SIHD for administrative, accounting and compliance functions
  • Ability to work independently. 
  • Flexibility for evening meeting attendance
  • Ability to take work direction from multiple supervisors
  • Ability to manage busy work environment
  • Understanding of the Brown Act and public meeting management
  • Excellent organizational and analytical skills
  • Ability to coordinate multiple tasks simultaneously and manage priorities and workflow
  • Ability to use sound judgement and mature decision-making in the absence of direct supervisionHigh degree of responsibility for confidentiality.

    Support each chief officer with:

    • Phone management
    • Schedule management
    • Meeting preparatioin
    • Document and PowerPoint presentation creation
    • Printing, faxing, scanning


    Support the Board of Directors:

    • Meeting Scheduling
    • Board packet preparation
    • Public notice
    • Liaison with legal counsel
    • Record and maintain meeting minutes
    • Manage Press Releases
  • District responsibilities
    • Coordinate staff meetings
    • Maintain Conference Room calendar
    • Update and maintain facility bulletin boards
    • Maintain all phone lists
    • Employee Activities Lead
    • All staff announcements
    • Manage housing schedule
    • Other additional responsibilities as assigned
