POSITION OVERVIEW: Title:              Optometry Office Manager Reports To:    Chief Medical Officer Schedule:       M-Th; 4- 10's  Status:             Non-Exempt Summary:       daily administrative operations of an optometry office, ensuring smooth, efficient operations. This includes managing patient services, handling staff, overseeing billing and financial processes, and ensuring compliance with healthcare regulations. The Office Manager will play a critical role in maintaining a welcoming, patient-centered environment while optimizing office workflow. PRIMARY RESPONSIBILITIES: (Will include but not limited to) •         Oversee daily administrative operations of the optometry office to ensure smooth workflow. •         Manage patient scheduling, checkins, and checkouts for efficient patient flow. •         Oversee inventory management for optical supplies and office equipment. •         Handle office communications and maintain accurate and secure office records. •         Manage office technology, including troubleshooting basic issues and overseeing use of electronic health records (EHR) and practice management software. •         Recruit, train, and supervise front office and administrative staff. •         Assign tasks, monitor staff performance, and create schedules to maintain adequate coverage. •         Ensure a high standard of patient care by addressing patient concerns and overseeing appointment scheduling and insurance verification. •         Oversee billing, collections, and patient payments. •         Monitor the office's financial performance, prepare budgets, and track expenses. •         Ensure compliance with healthcare regulations, including HIPAA and OSHA standards. •         Manage insurance credentialing for the optometrist and staff as needed. QUALIFICATIONS: Minimum Qualifications Pattern I: Bachelor's degree in healthcare administration, business, or related field and three (3) years of management experience. Pattern II: Five (5) years of related experience and at least two (2) years in a management position. Or: An appropriate combination of the above education and experience. Preferred Qualifications Strong knowledge of healthcare billing and insurance practices. Proficiency with electronic Medi-Cal records (EMR) and practice management software. Requirements Ability to pass a comprehensive background investigation and be free of any felony convictions. Must possess a vehicle, a valid California driver's license (or ability to obtain within 30 days of hire), and current vehicle insurance. Must be insurable. PHYSICAL REQUIREMENTS: This position requires walking, standing, and sitting for prolonged periods; climbing stairs and stepstools; stooping, kneeling, crouching, balancing, and reaching; pushing, pulling, and lifting to 30 pounds; and raising objects overhead. The role also requires manual dexterity for operating computers and phones, as well as hearing, talking, and strong verbal and written communication skills. Repetitive motions of the wrists, hands, and fingers are involved. The employee may be subject to outdoor environmental conditions such as heat and cold, and will be required to walk on uneven ground. The position also requires the ability to safely operate and drive a motor vehicle.
