A6 Scientific Corp. is a federal contractor providing professional and technical support services to government clients. We are hiring an Administrative Assistant to support a federal healthcare client in Long Beach, CA.
Position Overview
A6 Scientific Corp. is seeking a highly organized and dependable Administrative Assistant to support a busy engineering and project management team in a federal healthcare environment.
This is not a basic front-desk or clerical role. This position plays an important part in keeping projects moving by supporting procurement, budget tracking, records management, meeting coordination, and daily administrative operations. The right candidate will be detail-oriented, professional, comfortable handling documentation, and able to work well with internal teams, vendors, and client staff.

Key Responsibilities
Budget and Financial Support
- Maintain and update budget spreadsheets for assigned teams
- Review pay applications and supporting documents for multi-year contracts
- Gather and compile monthly KPI data for reporting
- Track orders, receiving reports, and related purchase records
- Help maintain accurate logs for payments, deliveries, and procurement status
Procurement and Records Support
- Contact vendors to request quotes for products and services
- Help prepare and submit procurement packages
- Support LEAF 2237 requests and purchasing documentation
- Review documents to ensure they are complete, properly named, and correctly dated before submission
- Track internal requests that require purchasing support
- Maintain organized digital and hard-copy procurement and contract files
- Retain procurement and voucher documentation according to required records retention standards
- Coordinate delivery schedules with vendors, project staff, and move or activation teams
Project and Administrative Support
- Support project management documents such as plans, trackers, charters, and logs
- Attend meetings in person and prepare meeting notes or minutes as needed
- Coordinate communication by email and phone with internal staff, client personnel, vendors, and contracting teams
- Maintain organized files, logs, trackers, and administrative records
- Complete any required project or client training and keep certifications current
- Provide day-to-day administrative support to help the team stay organized and responsive
Minimum Qualifications
Candidates must meet one of the following:
- Associate’s degree or higher in Business Administration, Office Management, or a related field; or
- 4–6 years of professional administrative experience in a government, construction, engineering, facilities, or project management environment
Required Skills
- Proficiency in Microsoft Word, Excel, Outlook, and Adobe Acrobat DC
- Strong organization and recordkeeping skills
- Ability to manage a high volume of digital and physical documents accurately
- Strong written and verbal communication skills
- Strong attention to detail and follow-through
- Ability to handle confidential and sensitive information appropriately
- Ability to work well in a structured, deadline-driven environment
Preferred Qualifications
- Bachelor’s degree in Business, Public Administration, or a related field
- Experience with federal procurement or purchasing processes
- Experience with LEAF, FORCE, or similar procurement systems
- Experience supporting project teams, facilities teams, construction teams, or design teams
- Proficiency in Microsoft Teams and SharePoint
- Familiarity with VA, DoD, or other federal administrative processes
Work Schedule and Work Environment
- Full-time
- On-site in Long Beach, California
- Standard schedule is generally Monday through Friday, 8:00 AM to 4:30 PM
- Occasional overtime may be needed based on project needs and must be approved
- This role is in a federal healthcare facility environment
- No remote or hybrid work

- Work fully on-site in Long Beach, CA
- Pass required background screening before starting work
- Follow client site policies, badge requirements, privacy rules, safety rules, and professional workplace standards
- Work professionally with client staff, internal teams, and external vendors
- Maintain dependable attendance and strong documentation practices
