Kaleidoscope Supply Services supports the staffing of this position on behalf of a client company. If selected, you will be employed directly by the client—not Kaleidoscope, the VA, or the federal government. Â
This role supports a Department of Veterans Affairs (VA) federal contract. You will work alongside VA teams to help deliver services that support veterans and the VA’s mission.Â

About the RoleÂ
We are seeking a highly organized and proactive Administrative Assistant to provide critical support for our Projects & Construction and Planning/Major Projects sections. In this role, you will serve as a central hub for project documentation, budget tracking, and vendor coordination, ensuring that our large-scale operations move forward efficiently and in full compliance with regulatory standards.Â

Key ResponsibilitiesÂ
- Maintain meticulous project records and manage the lifecycle of internal documentation.Â
- Assist in budget management tasks, including tracking expenditures and financial reporting.Â
- Act as a primary point of contact for the Projects & Construction or Planning teams, utilizing strong written and verbal skills to coordinate between internal teams and external partners.Â
- Strictly safeguard sensitive information and ensure all administrative processes comply with VA privacy laws, information security, and data protection protocols.Â
- Assist in the generation of solicitation packages and the development of Project Management Plans (PMP) and Team Charters.Â
- Manage IDSR (Integrated Data Systems Report) by tracking and coordinating vendor quotes to support procurement needs.Â
- Facilitate related training for staff on administrative procedures and project tools.Â
- Utilize Microsoft Teams and other collaborative platforms to streamline departmental communication.Â
Qualifications & SkillsÂ
- Minimum of 2–3 years of professional administrative experience, preferably within construction, engineering, or project management environments.Â
- A bachelor’s degree or higher is preferred; a combination of education and relevant experience may be considered.Â
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat DC is required. Experience with Microsoft Teams is highly beneficial.Â
- Exceptional organizational habits, the ability to prioritize competing deadlines, and a high level of discretion regarding confidential data.Â
- Familiarity with VA privacy laws, federal confidentiality requirements, or similar regulatory frameworks is a significant plus.Â
Contract Details Â
- This position supports a federal nonpersonal services contract with the VA. Â
- The anticipated contract term includes one base year with up to two optional renewal years, subject to funding, performance, and government needs. Â
- As part of the federal approval process, the VA may review resumes and may request interviews. Â
- Final placement and start date are contingent upon VA approval. Â
- While Kaleidoscope Supply Services manages the staffing process, the employer of record will be the client company supporting the VA contract. Â
Compensation Â
- Hourly pay: you are paid only for hours worked.Â
- No paid holidays (holiday pay is not reimbursed by the government for this role).Â
- No paid time off (PTO) is included.Â
- Overtime is not permitted unless pre-approved by both the client and the VA.Â
This compensation structure is standard for federal nonpersonal services contract positions. Â
