Position Overview:
The Long Beach Headquarters of our award-winning, multi-brand design firm is searching for an Executive Assistant to work with members of our Principal group. This position will be a main point of contact for communication, scheduling, travel, and expenses, answering phones and emails, event coordination, and general day-to-day organization for Principals and office events.  
Responsibilities: 
- Maintaining calendar for Principals as needed 
- Managing and scheduling appointments and meetings  
- Coordinating travel arrangements and expense reports 
- Creating and updating documentation as needed 
- Organizing files and programs appropriately  
- Prioritizing and responding to emails and completing tasks in a timely manner 
- Answering phone calls as needed 
- Working on ad hoc projects and event coordination as assigned 
- Maintaining comprehensive and accurate records and contacts
- Providing in-office support for meetings and events
- Performing general administrative support as needed
- Providing coverage support for team members as needed including the front desk
 
Qualifications: 
- 3+ years supporting multiple senior executives
- Strong written and verbal communication skills and experience working with executives and clients
- Ability to effectively multi-task and complete assignments in a timely manner 
- Superior organizational skills 
- Proficient in computer skills including Microsoft 365 programs, Outlook, and calendar management
- Experience in travel coordination
- Positive attitude and resourceful problem solverÂ
- Prompt and organized worker 
- Bachelor’s degree preferred
