Overview

A family of four (2 parents, 2 children ages 8 and 11) in Los Altos, CA are looking for an experienced remote/hybrid household manager/personal assistant to take ownership of the operations and coordination of their home. They already have wonderful people—a nanny, cleaners, gardeners, and tutors—and need someone to oversee and connect it all so the day-to-day no longer runs through them. This role can be part-time (15-20 hours) or full-time (30-35 hours). The role can be remote with in-person presence as needed weekly (perhaps 1 afternoon a week), especially for vendor oversight and practical needs that require presence. They are looking for someone whose core strength is house management and personal assisting. Vendor selection and oversight, running household systems, catching what needs attention before being asked, working behind the scenes to orchestrate household operations. The candidate to hire must be able see the whole picture and take ownership, not wait to be told what to do, to take items and needs off of the principal Mother's plate. They're after someone who owns the system. The goal throughout is to take mental load off the parents. This is not a childcare role nor a cleaning/tidying role. The role starts ASAP. Though remote/hybrid, the first 2-3 months may involve more in-person initially due to ramping up and training.

Responsibilities

 

  • Taking ownership of their calendars, appointments, and travel
  • Sourcing, vetting, and managing vendors, with the judgment to distinguish necessary work from an upsell
  • Keeping the household running smoothly and noticing what needs attention before they have to ask
  • Directing their existing household team and maintaining clear standards
  • Mail, forms, school paperwork, and household administration
  • The role covers household scheduling, vendors and home maintenance, travel, household systems and accounts, children's schedules, and supervising existing staff with a real reporting line. They're looking for someone who runs a household rather than works in it: organized, discreet, and able to use good judgment without checking in first. 

  • Calendar and scheduling:

    • Household and personal calendaring across two working parents and two school-age children. One parent has an executive assistant, so this role focuses mainly on the other parent and the two childrenCoordinating activities, appointments, tutoring, lessons, and the logistics that connect them

    • Protecting blocks of focused time and acting as a gatekeeper on incoming requests for that parent

  • Planning and travel
    • Family travel planning end to end — research, booking, itineraries, contingencies
    • Event and birthday planning
    • Anticipating what's coming and getting ahead of it, including household upkeep
  • Vendors and household oversight
    • Sourcing, vetting, and hiring vendors on trusted judgment; getting and comparing bids
    • Managing contracts, scheduling, and follow-through with landscapers, cleaners, contractors, and design/renovation trades
    • Holding the standing state of the household — noticing drift without being told
    • Directing our on-site family assistant (who handles afternoon task execution) and other staff, largely remotely
  • Administrative
    • Mail and inbox triage
    • Some bill payment and check writing (they have a finance professional)
    • Building and maintaining the systems that make all of the above repeatable

Requirements

  • You’d be a great fit if you’ve run a busy household before, bring order to many moving parts, and can be trusted to make sound decisions independently
  • Senior Personal Assistant experience highly preferred
  • You’re excellent with vendors and systems, discreet with a family’s private life, and comfortable with the digital side of household management, including accounts, portals, and scheduling tools
  • A reliable car and clean driving record are required; candidate to hire will be reimbursed per IRS gas mileage reimbursement standards
  • Because you’ll be part of their household, they’re looking for someone who genuinely enjoys being around children and would be warm and willing to help in a rare, unexpected situation, for example, giving a child a ride or staying with them briefly until a parent is available
