Position Overview: The Athletics Administrative Assistant provides essential administrative, logistical, and operational support to Milken’s Athletics Department. Serving as the primary point of contact for the Athletics Office, this role ensures smooth daily operations through effective communication, accurate scheduling, and strong organizational support. The position works closely with students, families, faculty, coaches, transportation partners, and opponents to coordinate athletics programs, special events, and game-day logistics. The Athletics Administrative Assistant plays a key role in maintaining schedules, supporting events, and delivering a high level of professional, student-centered service in a fast-paced school environment. Responsibilities: Serve as the primary point of contact for the Athletics Office, providing professional, student-centered support to students, families, faculty, coaches, and partner schools via phone, email, voicemail, and in-person inquiries. Manage athletics schedules, rosters, and calendars, including accurate data entry and ongoing updates across internal systems and platforms and ensure accuracy across all calendars. Assist with special event operations, including check-in, hospitality, preparation, volunteer coordination, and troubleshooting. Support off-hours athletics and school events, including occasional mornings, evenings and Sundays. Assist with coordinating game-day logistics, including game set up and breakdown as needed. Support transportation logistics, including early dismissals, bus coordination, and communication Maintain and oversee databases for coach certifications and compliance documents; monitor expiration dates and send timely reminders. Assist with uniform management and distribution. Handle confidential information with discretion and professionalism. Other related duties as assigned. Qualifications: Highly proficient with Mac, Workspace, and standard office equipment. Experience working independently and as a highly collaborative team player. Experience operating with and the ability to maintain strict confidentiality. Strong organizational and time management skills; ability to prioritize competing deadlines Strong interpersonal, verbal and written communication skills and able to interact effectively with a wide variety of people/roles. Need for flexibility and adaptability, quick thinking, and the ability to multitask effectively while maintaining focus and productivity. Strong attention to detail. Ability to manage workload in an office environment with frequent interruptions. Standard On-Campus Hours: Start: M - F by 9 AM End: M -Th 5 PM, F 4:00 PM Hours may vary based on athletic seasons and events; occasional early mornings, evenings, and weekends are required. *All schedules are subject to change.
