Job Summary

We are seeking an experienced Community Manager to join our successful property management company. This is a portfolio management position based out of our central office, rather than an onsite property management position.

The Community Manager is responsible for the overall management of an assigned portfolio of Homeowner Associations (HOAs), working closely with Boards of Directors, homeowners, vendors, and internal support departments.

Our approach to portfolio management recognizes that the level of responsibility and workload is not determined simply by the number of associations or units. Each portfolio is evaluated based on the time, complexity, and work required to effectively serve the communities.

The successful Community Manager is organized, responsive, knowledgeable about California Common Interest Development (CID) law, and comfortable working directly with volunteer Board members. The ability to prioritize competing demands while maintaining strong relationships with Boards, homeowners, vendors, and coworkers is essential.

We are looking for an experienced professional who can take ownership of their portfolio and provide the level of service our clients expect.

Responsibilities

  • Manage an assigned portfolio of Homeowner Associations from our central office
  • Work closely with Boards of Directors to address community needs, priorities, and ongoing issues
  • Attend and effectively participate in Board meetings, primarily via Zoom
  • Prepare for and follow up on Board meetings and action items
  • Ensure compliance with applicable California Civil Code requirements and governing documents
  • Communicate professionally and effectively with Board members, homeowners, vendors, and other stakeholders
  • Coordinate with internal support departments and delegate appropriate tasks to ensure timely completion of work
  • Work with vendors and service providers to properly maintain the communities
  • Monitor outstanding issues and follow through to resolution
  • Provide administrative support and perform other duties as required to effectively manage the assigned portfolio
  • Utilize Vantaca property management software to manage portfolio activities and maintain accurate records
  • Effectively prioritize work based on the needs, complexity, and workload of each community

  • Strong organizational and time-management skills
  • Ability to work independently while collaborating with internal departments
  • Proficiency with property management software; Vantaca experience is highly desirable
  • High school diploma or GED
Preferred

  • Certified Community Association Manager (CAI/CCAM) or other recognized community association management certification
  • Associate's or Bachelor's degree
