The Data Operations Coordinator plays a critical role in ensuring the accuracy, integrity, and usability of clinical, operational, and access-related data across St. John’s Community Health. This role is responsible for running, maintaining, and refining operational reporting, while integrating data from eClinicalWorks (eCW), manual data sources, and reporting tools such as Power BI and STAT to provide clear visibility into performance, access, and workflow efficiency.

The position focuses on validating data, identifying and resolving discrepancies, and performing manual data collection to support accurate reporting. By analyzing access metrics, patient experience data, and EHR documentation, the Data Operations Coordinator helps identify trends, risks, and opportunities to improve patient access, workflow efficiency, and overall care delivery. This role works closely with Operations by turning data into clear, actionable insights that support decision-making, improve performance, and strengthen patient access across the organization.

Qualifications:

Education: (Preferred)

  • Bachelor’s Degree in a related subject, preferred.
  • Proficiency in the use of computers including: Word processing, Simple accounting, Data base management, Spreadsheets, E-mail, Internet
  • Experience working with Electronic Health Records (EHR) systems required; eClinicalWorks (eCW) strongly preferred.

Responsibilities

  • Run, maintain, and distribute recurring operational and access-related reports (i.e. third next available appointments, no-show rates, and missed opportunities) to support leadership’s understanding of workflow efficiency and patient access.
  • Develop and update reportings by integrating data from eClinicalWorks (eCW), manual data sources, and reporting tools such as Power BI and STAT.
  • Validate data entry accuracy across eClinicalWorks (eCW) by identifying, investigating, and resolving discrepancies to ensure data accuracy and consistency.
  • Perform data validation, reconciliation, and cross-checking across manual and system-generated data sources to ensure accuracy, completeness, and alignment with operational workflows.
  • Perform targeted manual data collection and validation to identify trends, gaps, and issues in data entry, documentation, and reporting workflows.
  • Maintain data validation processes, metric definitions, and documentation standards.
  • Review Power BI dashboards, datasets, and reports to ensure alignment with source data and approved definitions.
  • Collaborate with report developers and stakeholders to investigate and resolve data discrepancies and improve reporting accuracy.
  • Review patient grievances through EHR chart audits to identify issues related to scheduling, communication, and access.
  • Identify and document opportunities where patients could have been accommodated through alternative scheduling or access pathways to inform workflow and access improvements.
  • Analyze operational, access, and performance data to identify trends, risks, and improvement opportunities.
  • Conduct data analysis and mapping across manual and automated sources to ensure alignment between workflows and reporting outputs.
  • Analyze year-to-date and historical performance data to identify recurring issues and access challenges impacting patient experience and care delivery.
  • Review patient experience data and EHR documentation to assess documentation quality and its impact on appointment outcomes.
  • Compare historical (“old”) and current (“new”) data workflows to identify gaps, missed opportunities, and areas for improvement.
  • Turn data findings into clear, actionable insights that support performance improvement efforts.
  • Communicate data findings, trends, and recommendations to leadership and operational teams.
  • Support corrective actions and monitoring efforts to prevent recurring issues related to access, scheduling, or documentation.
  • Support with data-related projects, including tracking, documentation, and reporting deliverables.
  • Participate in meetings, trainings, audits, and performance improvement initiatives as needed.
