JOB SUMMARY

MAJOR RESPONSIBILITIES/ESSENTIAL FUNCTIONS


The Administrative Assistant performs department receptionist and secretary duties. Maintains department records. Completes short term project as directed by the Director of Facilities. 

Position Summary:

  • Ability to oversee daily general operations of the department
  • Coordinate efforts for joint commission
  • Serve as a liaison between assigned accreditation bodies
  • Coordinate all survey and post survey activities
  • Demonstrates the ability to maintain complete and accurate records
  • Coordinate with Fire Life Safety vendors to maintain records are current and in compliance
  • Coordinate with EOC Committee members to update all report information
  • Responsible for managing and coordinating a variety of department projects, activities, reports, schedules and data collection and management
  • Able to review policies and procedures and make recommendations
  • Has the ability to maintain inventory, order supplies and complete requisitions
  • Review purchase requisitions and invoices through the Accounts Payable program 
  • Demonstrates the ability to arrange and schedule meetings; coordinate meetings/s, agenda materials and record meeting minutes
  • Demonstrates the ability to maintain confidentiality of highly sensitive information and abiding by HIPAA/Privacy Breach regulations 
  • Has the ability to maintain and standardize office procedures
  • Demonstrates prompt and accurate responses to all requests, problems, and questions
  • Ability to perform routine clerical tasks which may include, but are not limited to, filing, sorting, collating, stamping, delivering, routing, counting, stapling, folding, posting, tallying information, copying, stuffing, mailing, retrieving, checking, recording and relaying messages
  • Operates computer equipment to store, edit, format, print and revise letters, memos, statistical tables, reports, forms, labels and other printed material
  • Demonstrate the ability to use the work order system and generate reports
  • Communicates appropriately and clearly with everyone in/out of HPMC
  • Maintains a good working relationship with all points of contact 
  • Demonstrates the ability to be flexible and organized

  • Reports to work on time and as scheduled, completes work within designated time
  • Uses computerized time clock correctly 
  • Attends staff meetings and actively participates, reads and returns all staff meeting minutes 
  • Demonstrates knowledge of equipment capabilities, limitations and appropriate/special applications
  • Demonstrates the ability to access and use computer systems and computer programs 
  • Ability to communicate effectively verbally and in writing
  • Two years experience in a healthcare office setting is required

  • Current Los Angeles Country Fire Card (required within 30 days of hire)
  • Assault Response Competency (ARC) (required within 30 days of hire)
