Wage: $72,000 - $76,000


The Executive Assistant serves as a trusted partner to Alfred's founder and CEO. In this role, you’ll balance managing executive priorities and coordinating the work that brings new Alfred locations to life. From managing calendars, tracking development timelines, chasing permits through city departments, and turning a scattered conversation into action, you’ll play a key role in Alfred’s continued growth.

What You'll Do


Executive Operations

  • Own the CEO's calendar, inbox, travel, and daily priorities, ensuring time is focused on the company's highest-impact work.
  • Prepare the CEO for meetings by assembling agendas, context, and outstanding action items.
  • Capture meeting notes and drive follow-through by assigning owners, tracking deadlines, and ensuring commitments are completed.
  • Serve as a trusted liaison between the CEO and leadership, landlords, contractors, consultants, attorneys, and external partners.
  • Handle executive administrative operations, including expenses, reimbursements, and confidential communications.

Project & Development Management

  • Manage cafe opening timelines from lease execution through grand opening.
  • Lead recurring check-ins with architects, contractors, consultants, and internal stakeholders, documenting progress and next steps.
  • Identify project risks early, remove roadblocks, and keep development on schedule.
  • Track budgets, invoices, contracts, and change orders across multiple active projects.
  • Visit job sites to document progress, maintain punch lists, and verify execution.

Permitting & Real Estate

  • Coordinate permit applications, agency approvals, inspections, and regulatory deadlines across city departments.
  • Represent Alfred at city agencies to help move projects forward.
  • Maintain lease calendars, summarize lease terms, and monitor critical renewal and notice dates.
  • Review landlord billings against lease agreements and flag discrepancies.
  • Maintain organized project documentation, including permits, contracts, plans, and correspondence.


What You'll Bring 

  • 2 to 4 years in executive support and/or project management. Experience in real estate, construction, hospitality, or a fast-growing small company is a plus.
  • Exceptional organizational skills. You track commitments without being reminded, and nothing falls through the cracks.
  • Strong written communication skills. You can draft an email the CEO would have written themselves.
  • Comfortable holding contractors, consultants, and city agencies accountable to deadlines they didn't set for themselves, politely, persistently, and without burning the relationship. This is one of the most important parts of the job.
  • Absolute discretion. You'll regularly handle confidential financial, legal, and personnel information.
  • Sound judgment to know what requires the CEO's attention and what you can confidently own yourself.
  • Valid driver's license, clean driving record, and reliable transportation. You'll be on the road several days each week visiting cafes, job sites, and government agencies.
  • Proficient with calendars, spreadsheets, shared drives, and modern collaboration tools.
  • Grace under pressure, adaptability, and a healthy sense of humor when navigating bureaucracy.
  • Ability to work outdoors in varying weather conditions and occasionally lift up to 20 pounds.

Compensation & Benefits
