We are seeking an organized, proactive, and detail-oriented Executive Assistant to support senior leadership and contribute to the day-to-day operations of our growing firm. This individual will play a key role in ensuring administrative processes run efficiently while providing exceptional support in a fast-paced, client-focused environment.
This position is based in our Los Angeles office and requires on-site attendance Monday through Friday. Standard business hours are 8:00 a.m. – 5:00 p.m., with some flexibility available.
Primary Responsibilities:
The Executive Assistant will provide administrative and operational support to senior leadership while assisting with a variety of internal office functions. This role requires someone who can effectively manage multiple priorities, maintain strict confidentiality, and communicate professionally with both internal staff and clients.
Responsibilities include, but are not limited to:
- Manage executive calendars, schedule meetings, and coordinate appointments
- Arrange domestic and international business travel, including flights, hotels, and transportation
- Track, prepare, and submit expense reports
- Prepare, edit, and format correspondence, agreements, and other business documents
- Maintain electronic and physical filing systems, including scanning and document organization
- Prepare and maintain Excel reports and spreadsheets
- Manage incoming mail and distribute correspondence appropriately
- Utilize DocuSign and ShareFile for document preparation, execution, and file management
- Enter and maintain employee timesheets
- Manage office subscriptions and recurring administrative tasks
- Assist with client billing and invoicing
- Process wire transfer requests
- Track continuing professional education (CPE) hours and professional license renewals
- Provide professional client service and maintain regular communication with clients and business partners
- Perform additional administrative and operational duties as needed to support leadership and the broader team
Qualifications:
- 3+ years of executive or administrative assistant experience in a professional services environment preferred
- Intermediate to advanced proficiency in Microsoft Outlook, Word, Excel, and Teams
- Excellent organizational and time management skills with the ability to prioritize competing responsibilities
- Strong verbal and written communication skills
- High attention to detail and accuracy
- Ability to exercise sound judgment and maintain strict confidentiality
- Comfortable working in a fast-paced environment with changing priorities
- Professional demeanor with strong interpersonal skills and the ability to work effectively with individuals across all levels of the organization
- Experience with DocuSign and ShareFile is preferred
- Notary Public certification is a plus, but not required

This position is an exempt position. The annualized base pay range for this role is expected to be between $85,000-$100,000 base salary compensation range. Actual base pay may vary based on factors including, but not limited to, experience, subject matter expertise, geographic location where work will be performed, and the applicant’s skill set. The base pay is just one component of the total compensation package. Other rewards may include an annual cash bonus and a comprehensive benefits package, including but not limited to medical, dental, vision, life insurance, and 401(k).
