About the Role
This is a founding role on a rapidly scaling healthcare AI team, where you'll build the recruiting operations function entirely from scratch. As the first hire in this function, you'll architect the systems, tooling, and processes that will carry the organization from roughly 15 to 250+ employees in under two years. The work you do here will directly shape how the company attracts and hires the talent powering its next stage of growth.
What You'll Do
Own and optimize the ATS (Ashby) end-to-end — pipelines, scorecards, workflows, automations, and integrations across the full recruiting tech stack.
Build AI-powered tooling and automations to accelerate recruiters, including automated outreach, AI-assisted screening, and intelligent pipeline triage.
Design and automate recruiting analytics dashboards for real-time visibility into pipeline health, funnel metrics, and time-to-hire.
Create enablement materials, playbooks, and training to onboard recruiters and hiring managers on systems and processes.
Launch and scale the recruiting coordination function — hire, manage, and set service levels for a growing team.
Collaborate cross-functionally with recruiters, hiring managers, and executives to continuously improve recruiting operations.
What We're Looking For
3–6 years of experience in recruiting operations or talent operations, ideally at a high-growth startup with 50+ hires per year.
Deep Ashby expertise — advanced workflow configuration, custom reporting, API/webhook integrations, and admin-level fluency.
Hands-on experience building AI or automation tooling in a recruiting context (no-code platforms, prompt engineering, or scripting).
Strong analytical skills with SQL or advanced spreadsheet fluency; proven ability to build dashboards and automated reports.
Experience building recruiting ops infrastructure from the ground up — not just maintaining existing systems.
Familiarity with recruiting tech tools such as LinkedIn Recruiter, sourcing platforms, or similar.
Strong stakeholder management skills with demonstrated cross-functional collaboration across engineering, product, and executive teams.
Builder mentality with an ownership mindset — you identify problems, scope solutions, and ship independently.
Must be legally authorized to work in the United States; no visa sponsorship is available.
Compensation & Benefits
Salary: $160,000–$190,000 USD annually. No visa sponsorship is available for this role.
Location
Hybrid role based in San Francisco, CA. Candidates should be available for regular in-office work. The team also recruits across major U.S. cities including Los Angeles and New York.
