The HR Coordinator partners closely with Recruiters and Operations to execute daily pre‑employment and onboarding activities. This role supports the recruitment lifecycle by working within ATS and HRIS systems to ensure a smooth candidate experience, timely onboarding, and strict compliance with all pre‑employment requirements. The HR Coordinator plays a key role in applicant engagement, documentation accuracy, and regulatory compliance.
- Support Recruiters with daily pre‑employment and onboarding activities.
- Utilize ATS and HRIS systems to assist with candidate tracking, onboarding, and engagement.
- Collaborate with Operations to support interview coordination and hiring readiness.
- Ensure all onboarding tasks are completed prior to employee start dates.
- Track, collect, and maintain employee documentation throughout the hiring process.
- Communicate with processing hires to ensure a successful onboarding experience.
- Partner with Recruiters and field Operations to verify candidates meet employment requirements.
- Maintain accurate and complete employee records.
- Ensure employee files are stored appropriately in Microsoft Teams and ADP Vantage Personal Confidential files.
- Conduct daily follow‑ups with applicants regarding onboarding and compliance status.
- Identify delays and bottlenecks to help reduce time‑to‑fill.
- Meet daily with Recruiters to review at‑risk candidates or processing employees.
- Register new hires for orientation and required programs (HSOA).
- Order uniforms, track required equipment, and monitor LMS training completion.
- Manage pre‑employment compliance processes with vendors such as KOJ or Concentra.
- Schedule medical and pre‑employment appointments and follow up for missing documentation.
- Assist Recruiters in maintaining compliance with local, state, and federal regulations related to pre‑employment.
- Ensure compliance documentation is accurate, complete, and audit‑ready.

- MINIMUM REQUIREMENTS
- High School Diploma or equivalent
- Minimum of 2 years of HR administrative experience
- Strong organizational and time‑management skills
- High attention to detail with accuracy in documentation
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office, with an emphasis on Excel

- 4 years of experience in a security or healthcare environment
- Knowledge of healthcare or security operations
- Experience improving or optimizing HR processes
- Strong problem‑solving and decision‑making skills
