Job DetailsJob Location: Los Angeles, CA 90013Position Type: Full TimeSalary Range: $80,000.00 - $100,000.00 Salary/yearJOB Summary: The Project Manager at The Midnight Mission serves as the operational and strategic coordination lead for the Advancement Department and acts as a key partner to the Director of Advancement. This role is responsible for helping move Advancement priorities from vision to execution with clarity, accountability, operational excellence, and strong attention to detail. The Project Manager helps create the structure, systems, workflows, and follow through necessary for a high functioning, relationship driven fundraising department. This includes managing project timelines, tracking deliverables, supporting donor stewardship systems, maintaining quality assurance standards, and helping optimize internal processes so Advancement staff can focus more deeply on donor relationships and meaningful engagement. This role is highly collaborative within the Advancement Department and serves as a central point of coordination across fundraising campaigns, donor communications, stewardship efforts, special events, prospecting workflows, and operational priorities. Key Duties and Responsibilities The Project Manager plays a critical role in strengthening Advancement operations, accountability, donor engagement systems, and overall team effectiveness. Advancement Project & Campaign Management Own and manage timelines for Advancement projects, fundraising campaigns, donor stewardship efforts, communications, and special events. Develop detailed project plans outlining tasks, deadlines, dependencies, approvals, and deliverables. Monitor progress across multiple concurrent initiatives and proactively identify risks, delays, or gaps. Ensure Advancement priorities remain organized, on schedule, and aligned with departmental goals. Maintain campaign calendars, production schedules, run of show documents, stewardship timelines, and follow up workflows as needed. Operational Excellence & Quality Assurance Help establish and reinforce a culture of operational excellence across the Advancement team. Ensure deadlines, deliverables, donor communications, reports, spreadsheets, and tracking systems are maintained accurately and consistently. Provide quality assurance for Advancement marketing materials, donor communications, campaign assets, acknowledgments, and stewardship touchpoints. Help ensure communications are timely, accurate, properly logged, and aligned with Advancement priorities and donor journeys. Support systems that reduce duplication, missed touchpoints, communication gaps, and operational inefficiencies. Donor Stewardship, Prospecting & Advancement Systems Support donor stewardship workflows and help strengthen personalized donor engagement strategies across the donor journey. Conduct donor prospect research within Blackbaud Raiser’s Edge NXT to support Relationship Managers and Advancement leadership. Identify, qualify, and flag prospective donors based on giving history, engagement, and capacity indicators. Help optimize Advancement systems, workflows, automation tools, and tracking practices to improve efficiency while preserving meaningful human connection and personal touch. Support consistent and accurate use of Blackbaud Raiser’s Edge NXT across the Advancement team, including documentation, task tracking, and donor activity management. Accountability, Workflow & Team Coordination Support Advancement planning, accountability, and workflow management processes. Track project deliverables, open action items, and departmental priorities to help ensure timely follow through. Help develop, document, and refine Advancement workflows, templates, systems, and tracking tools. Ensure clarity around project ownership, responsibilities, deadlines, and next steps. Serve as a central operational resource for the Advancement team, helping maintain organization, focus, and momentum across multiple workstreams. Escalate capacity concerns, operational bottlenecks, or timeline risks to the Director of Advancement as needed. QualificationsKnowledge, Skills & Abilities Bachelor’s degree in Project Management, Business Administration, Nonprofit Management, or a related field; or equivalent combination of education and experience. Minimum of 5 years of experience in project management, advancement operations, or a related role. Strong working knowledge of Blackbaud Raiser’s Edge NXT, including prospecting and task tracking. Exceptional attention to detail and strong quality assurance instincts. Highly organized, proactive, and comfortable managing multiple priorities simultaneously. Strong written and verbal communication skills, including the ability to clearly assign and follow up on action items. Comfortable influencing peers and driving accountability without direct supervisory authority. Highly technical and systems-oriented. Project Management certification (PMP, CAPM, or similar) strongly preferred. Commitment to the mission and values of The Midnight Mission. Work Environment & Schedule • This is an in-person role based in Los Angeles. • Hybrid work arrangements may be considered on a case-by-case basis. • Occasional evenings and weekends may be required to support events and time-sensitive campaigns. Sitting: Up to 4-6 hours per day. Standing: Up to 2-4 hours per day. Walking: Up to 2-4 hours per day. Lifting: Occasionally lift up to 25 lbs. Repetitive Actions: Simple grasping, pushing & pulling, fine manipulation with hands. Environmental Exposure: May be exposed to moving machinery, temperature changes, and drive automotive equipment.
