SUMMARY:
Accounting Administrative Assistant supports the finance team with a variety of administrative and financial tasks. This role includes responsibility for the corporate credit card program, backup support for Accounts Payable (AP) and Accounts Receivable (AR), involvement in month-end close, and serving as the primary accounting support for our Transportation Management System (TMS). This may include answering phones, greeting customers, performing data entry, scanning documents, receiving and sorting mail, preparing deposits, processing payments, maintaining financial spreadsheets, and any other tasks that contribute to the function of the accounting department.Â
ESSENTIAL DUTIES AND RESPONSIBILITIES:Â Â Â Â Â
- Front desk responsibilities of answering the door, the phones, greeting visitors to the facility, and collecting mail
- Assist Finance Director, AR Accountant, and AP Accountant with general activities
- Assist in managing the corporate credit card program
- Support the month-end close process
- Accounting support contact for the Transportation Management System (TMS)
- Calling Suppliers regarding missing documentation, questions about invoices, etc.
- Calling customers about past due payments, questions about payments, etc.
- Scanning documents into ERP/Accounting Systems
- Learn specifics of both the AR and AP positions in order to provide coverage for them during both short-term and long-term needs
- Enter invoices & payments into the ERP accounting systems
- Understand the general ledger accounts to post activities to
- Know specifics of reports to run for checking data and reporting on status
- Other duties as assigned
QUALIFICATIONS:

- Proficient in Microsoft Office applications (Excel, Word, PowerPoint, etc.)
- Attention to detail
- Good customer service skills
- Effective verbal and written communication skills
- College degree in Accounting or related field preferred
- Knowledge of GAAP strongly preferred, as well as 1-2 years’ experience
