The Job You Will Perform: 

The Administrative Assistant provides comprehensive administrative and clerical support to ensure efficient operation and coordination of the Procurement and Sourcing function activities. This role supports all Sourcing, Procurement, and Real Estate Directors,  Managers and team members, and organizational processes through coordination, communication, and organization of daily tasks. The ideal candidate is detail-oriented, initiative-taking, and able to manage a wide range of responsibilities in a fast‑paced environment.

Key Responsibilities:

  • Manage daily calendars, schedule appointments, and coordinate meetings for large groups

  • Responsible for coordinating corporate & field purchasing and storeroom training- including but not limited to: event booking, accommodation, catering, managing dietary restrictions, coordinating delivery of meeting materials 

  • Prepare and edit correspondence, reports, presentations, and other documents.

  • Organize and maintain physical and digital filing systems.

  • Manage incoming calls, emails, and general inquiries, route communication as appropriate.

  • Coordinate travel arrangements and expense reports.

  • Assist with onboarding new employees and maintaining office supply inventory.

  • Support department projects by conducting basic research, preparing materials, and tracking progress.

  • Maintain confidentiality of sensitive information.

  • Collaborate with internal departments to ensure smooth communication and workflow.

  • Perform general office duties such as copying, scanning, and mail distribution.

  • Occasionally, will be required to work after normal business hours when managing events
  • Normal Working Hours 8AM – 5PM Monday-Friday
  • Must be able to effectively manage multiple tasks that all have a sense of urgency
  • Estimated travel up to 30%

 

Qualifications:

  • High school diploma required; associate or bachelor’s degree preferred.

  • 2+ years of administrative or office support experience.

  • Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint).

  • Strong written and verbal communication skills.

  • Excellent organizational abilities with strong attention to detail.

  • Ability to manage multiple priorities and deadlines.

  • Professional demeanor and strong customer service orientation.

  • Ability to work independently and as part of a team

  • This role requires being in office Monday – Friday

The Skills You Will Bring: 

  • Experience supporting senior leaders, large departments, or cross‑functional teams.

  • Experience in event planning.

  • Familiarity with other calendar tools and data systems.

  • Basic bookkeeping or expense management experience.

  • SAP Material Management experience required

  • Excellent verbal and written communication skills.

  • Analytical skills is a plus.
  • Strong skills in Power Point and Outlook are a plus
  • Working knowledge and understanding of purchasing, accounting, and internal controls.
