Electrical Services Billing Clerk

Position Overview
The Electrical Services Billing Clerk plays a key role in supporting daily operations within the electrical service department. This team member ensures jobs are invoiced accurately and on time and handles a variety of tasks that keep the department running smoothly and efficiently. Strong communication skills are essential, as the role involves answering incoming calls and responding to customer inquiries with professionalism and efficiency. The ideal candidate is detail-oriented, organized, and capable of managing multiple responsibilities at once.
Key Responsibilities
- Open, update, and close work orders as services are requested and completed.
- Review job assignments, completion status, and time on job for accuracy; complete daily reporting and ensure all required information is in place before setting jobs as ready to invoice.
- Enter labor, materials, and service charges correctly, ensuring they are accurately documented for invoicing and transferred properly between systems.
- Record and manage per diem for out-of-town jobs.
- Ensure time clock entries for field service employees are accurate and timely.
- Create, update, and maintain customer information and records for accuracy and completeness.
- Obtain signatures, attach photos and supporting documentation, and manage job clock and status entries.
- Maintain and manage open job lists.
- Provide follow-up communication on order status, service updates, and general inquiries.
- Create, manage, close, and transfer purchase orders (including quick POs) to the appropriate jobs.
- Send proforma invoices to customers for PO requests and follow up on non-invoiced jobs requiring PO submission.
- Assist with purchasing materials and equipment for service jobs, maintaining accurate records and coordinating with vendors.
- Track expiration dates and ensure timely submission of license renewals to maintain compliance.
- Assist the Service Sector Manager with credit memo documentation.
- Ensure completed jobs are properly documented and ready for customer pickup or delivery.
- Assist technicians by locating parts, tools, or documentation as needed.
- Work with department supervisors on employee timesheet approvals and PTO requests.
- Order supplies as needed and support clerical tasks such as filing, data entry, and report generation.
Qualifications
- 1–2 years of experience in clerical or administrative work required.
- Experience in an electro-mechanical or similar shop environment preferred.
- Strong organizational skills and attention to detail.
- Excellent communication and customer service skills, with the ability to communicate effectively with all levels of employees and management.
- Strong problem-solving abilities.
- Strong computer skills, including proficiency in Microsoft Office Suite and the ability to quickly learn new software.
- Ability to manage multiple tasks and prioritize effectively.
- Ability to work 40 hours per week on a regular basis (excluding holidays and PTO), with availability for occasional overtime as needed.
Physical Requirements
- Ability to sit or stand for extended periods.
- Occasionally lift and move items up to 25 pounds.
Work Environment
- Office setting within an electrical shop environment, with electrical and environmental hazards and varying temperatures.
- Regular interaction with customers, technicians, and management.
- Some travel is anticipated for this position.
