Description
The Administrative Assistant supports the Workforce Development (WFD) and Safety teams by tracking training sign-offs, updating personnel information in safety management systems, processing safety incident documentation, and maintaining accurate, organized, and up-to-date records. This role helps ensure employees complete required refresher courses and other training while providing both teams with reliable data for reporting and operational needs.
PRIMARY RESPONSIBILITIES
· Provide administrative support to the WFD team, including entering training records and ensuring everyone has been trained who needs to be
· Provide administrative support to the Safety team, including filing incident reports and all associated information, preparing onboarding paperwork, and tracking and monitoring safety equipment
· Monitor required training, refresher courses, certifications, and expiration dates; notify appropriate team members of upcoming or overdue requirements.
· Organize and maintain electronic and physical files in accordance with company procedures and document-retention requirements.
· Perform routine data audits to identify missing, incomplete, duplicate, or inaccurate records and coordinate necessary corrections.
· Assist with scheduling training sessions, preparing training materials, maintaining attendance records, and distributing required communications
· Maintain accurate and up-to-date employee data in all relevant databases.
· Maintain strict confidentiality of employee information and HR or Safety related matters.
· Maintain departmental 5S housekeeping standards.
· Perform other related administrative duties as assigned.
Requirements
NEEDED SKILLS
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to stand, walk, lift and/or move up to 50 lbs., bend, use hands, and fingers for 8 + hours. (Overtime may be required)

EDUCATION
· Education: High School Diploma/GED required
· Experience: 1 years’ experience in an administrative role, preferably within an HR department
· Reading Ability: Must be able to read and understand English
