About Momentum
Momentum Association Management is a boutique association management company (AMC) based in Madison, Wisconsin. We provide full-service and contracted management to a portfolio of professional, scientific, and industry associations across North America. Our clients count on us for the full range of back-office and strategic services β from governance and membership to events, communications, and finance.
As a small and growing firm, every member of our team has direct exposure to senior leadership, meaningful ownership over their work, and the chance to shape how we operate as we scale.
Position Summary
The Junior Accountant will support the day-to-day accounting and bookkeeping operations for Momentum and its managed client associations. Working closely with the President and our contracted bookkeeper, this role is responsible for accurate transaction processing, accounts payable and receivable, reconciliations, and assisting with monthly close across multiple entities.
This is an excellent opportunity for an early-career accounting professional who wants broad exposure to nonprofit and association finance, hands-on work with modern cloud-based accounting tools, and a clear pathway to increased responsibility as the firm and its client portfolio grow.
Key Responsibilities
Accounts Payable & Receivable
- Process vendor invoices in Bill.com, including coding to the correct client entity, class, and general ledger account.
- Prepare and schedule weekly payment runs for approval; maintain organized documentation and audit trail.
- Generate and send client and member invoices; monitor aging and support collections follow-up.
- Record and reconcile incoming payments (ACH, credit card, check) across client bank accounts.
General Ledger & Reconciliation
- Maintain accurate transaction records in QuickBooks Online across multiple client entities.
- Perform monthly bank and credit card reconciliations for Momentum and client accounts.
- Investigate and resolve sync errors between Bill.com, QBO, and banking platforms (e.g., Chase Business).
- Assist with month-end close activities, including journal entries, accruals, and variance review.
Payroll & HR Support
- Support biweekly payroll processing, including timesheet review and coordination with our PEO/payroll platform.
- Maintain accurate records of employee reimbursements, benefits deductions, and related GL entries.
- Assist with onboarding of new hires from a finance and payroll perspective.
Reporting & Client Support
- Prepare monthly financial statements and supporting schedules for client association boards and treasurers.
- Assist with annual 1099 preparation, sales tax filings (where applicable), and audit/990 preparation support.
- Respond professionally to client, vendor, and member inquiries on finance-related matters.
- Support budget preparation and periodic budget-to-actual reporting for client associations.
Process & Operations
- Help document and continuously improve accounting procedures across client entities.
- Maintain organized digital files consistent with Momentum records retention standards.
- Identify opportunities to automate or streamline recurring financial workflows.
Required Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field β or equivalent professional experience.
- One to three years of bookkeeping, accounting, or relevant internship experience.
- Working knowledge of fundamental accounting principles (debits/credits, accrual vs. cash basis, chart of accounts structure).
- Proficiency with QuickBooks Online or comparable cloud accounting software.
- Strong Microsoft Excel skills, including formulas, pivot tables, and cleaning exported data.
- Exceptional attention to detail and comfort managing work across multiple entities simultaneously.
- Clear written and verbal communication; professional demeanor with clients and vendors.
- Ability to manage confidential financial information with discretion.
Preferred Qualifications
- Experience with Bill.com, Expensify, Ramp, or similar AP automation tools.
- Exposure to nonprofit, association, or multi-entity accounting environments.
- Familiarity with PEO or modern payroll platforms (Justworks, Gusto, Rippling, BambooHR Payroll).
- Experience supporting annual audits, 990 preparation, or board-level financial reporting.
- CPA candidate, CPA-eligible coursework, or progress toward certification is a plus.
Key Competencies
- Organized and deadline-driven β able to juggle recurring monthly tasks across multiple clients without letting things slip.
- Curious and process-minded β spots the root cause of sync errors or reconciliation variances rather than papering over them.
- Discreet and trustworthy β handles sensitive financial and personnel data appropriately.
- Service-oriented β treats client staff, board treasurers, and vendors as internal partners.
- Growth-minded β takes initiative to learn new systems and expand responsibilities over time.
Compensation & Benefits
Momentum offers a competitive compensation and benefits package for a firm of our size:
- Target base salary of $55,000 (range $50,000β$60,000), commensurate with experience.
- ICHRA Reimbursement of $400 per month.
- SIMPLE IRA β Momentum contributes 2% of salary.
- Paid time off, paid holidays, and paid sick leave.
- Hybrid work schedule with flexibility around core collaboration hours.
- Professional development support, including continuing education and relevant certifications.
- Direct mentorship from senior association and finance leaders, with a clear runway for growth as the firm scales.
