Parts Inside Sales

About the Role

The Parts Inside Sales position plays a critical role in supporting customer satisfaction and sales growth within the parts division of Masters Building Solutions.

This position is responsible for developing and maintaining customer relationships, responding to parts inquiries, preparing accurate quotes, and helping customers identify the appropriate products and solutions for their needs.

Working closely with customers, purchasing, operations, warehouse, and other internal teams, the Parts Inside Sales professional helps ensure accurate order processing, product availability, and timely delivery. This role requires strong communication skills, attention to detail, resourcefulness, and the ability to understand and communicate technical product information.

The ideal candidate will have experience in parts sales, inside sales, customer service, or a related technical environment, with HVAC or mechanical product experience strongly preferred.

Minimum Qualifications

• High school diploma or equivalent required
 • Minimum of 3 years of experience in customer service, inside sales, parts sales, or a related customer-facing role
 • Strong verbal and written communication skills
 • Strong sales, negotiation, and interpersonal skills
 • Demonstrated ability to build and maintain strong customer relationships
 • Solid understanding of technical, mechanical, or parts-related products
 • Strong organizational skills and attention to detail
 • Ability to manage multiple customer requests, quotes, and orders while maintaining accuracy and responsiveness
 • Proficiency with Microsoft Office Suite or equivalent business software
 • Ability to learn and effectively use sales, inventory, order management, and CRM systems

Preferred Qualifications

• Experience specifically with HVAC, mechanical, plumbing, building systems, or technical parts
 • Experience working with HVAC equipment, replacement parts, or related products
 • Previous experience in a manufacturer's representative, distributor, contractor, or similar environment
 • Familiarity with inventory, purchasing, order processing, or warehouse operations
 • Experience with CRM, ERP, inventory management, quoting, or order management software
 • Technical training, certifications, or post-secondary education related to HVAC, mechanical systems, sales, or a related field
 • Experience with consultative selling or account development

Key Responsibilities

Customer Service & Relationship Management

• Develop and maintain strong relationships with new and existing customers
 • Respond promptly and professionally to customer inquiries regarding:
 o Parts and products
 o Product features and applications
 o Availability and pricing
 o Order status and delivery expectations
 • Understand customer needs and recommend appropriate parts, products, and solutions
 • Provide knowledgeable and responsive customer service throughout the sales and order process

Sales & Quoting

• Manage incoming sales inquiries and provide timely, accurate quotes
 • Prepare and provide:
 o Sales quotes
 o Pricing information
 o Credit terms
 o Bid specifications
 • Apply product and industry knowledge to identify appropriate solutions for customer requirements
 • Identify opportunities to support sales growth through customer service, product knowledge, and consultative selling
 • Follow up on quotes and customer opportunities as appropriate

• Collaboration: Ability to work effectively with purchasing, operations, warehouse, sales, and other departments
• Adaptability: Willingness to learn new products, technologies, systems, and industry practices

Work Environment & Physical Requirements

• Work is primarily performed in an office environment with regular interaction with customers and internal teams
 • Position requires prolonged periods of sitting and computer work
 • May involve occasional time in warehouse or parts areas
 • Ability to:
 o Lift up to 70 pounds as needed
 o Use computers and other office equipment for extended periods
 o Work effectively in a fast-paced, customer-focused environment

Travel Requirements

• Position is onsite in Madison or Milwaukee, Wisconsin
 • Occasional travel to other company offices may be required
 • Occasional travel to customer locations, business-related meetings, events, or training may be required
