We are seeking a dedicated and compassionate Veterinary Receptionist to join our after-hours urgent care team. This position is ideal for someone who thrives in a fast-paced environment and understands that pets and their families may arrive when they are experiencing stressful, unexpected, or urgent medical situations.
As an After-Hours Veterinary Receptionist, you will be the first point of contact for clients and their pets during evening urgent care visits. You will play an important role in creating a welcoming and supportive experience while helping our veterinary team efficiently manage patient flow, communication, and administrative needs.

Schedule: Monday–Thursday, 3:30 PM–11:00 PM

Responsibilities
  • Greet clients and their pets promptly and compassionately, creating a calm and welcoming environment during potentially stressful situations.
  • Assist with the intake and registration of urgent and emergency patients.
  • Answer incoming phone calls and provide information regarding urgent care services, clinic policies, and patient needs.
  • Communicate effectively with clients regarding wait times, patient flow, and information requested by the veterinary team.
  • Recognize situations that may require immediate attention and promptly communicate concerns to the appropriate veterinary staff.
  • Schedule follow-up appointments and coordinate patient care as directed by the veterinary team.
  • Maintain accurate and up-to-date patient records, including medical histories and client information.
  • Process payments, estimates, deposits, and medical collections accurately.
  • Assist with discharge procedures and communicate veterinary instructions to clients as directed.
  • Support the veterinary team with basic animal handling or husbandry tasks when appropriate and requested.
  • Maintain clear communication between clients, reception staff, veterinary technicians, and doctors.
  • Help maintain a clean, organized, and efficient reception and waiting area throughout the evening.
  • Handle sensitive and emotional client interactions with professionalism, patience, and empathy.
  • Assist with end-of-day and closing procedures as needed.
Requirements
  • Previous experience in a veterinary hospital, urgent care, emergency, or animal care setting is preferred.
  • Knowledge of veterinary terminology, animal anatomy, and basic medical procedures is highly beneficial.
  • Familiarity with veterinary urgent care or critical care environments is a plus.
  • Strong communication and interpersonal skills, particularly when working with clients who may be anxious, upset, or facing a pet emergency.
  • Ability to remain calm, professional, and compassionate in a fast-paced and sometimes high-stress environment.
  • Ability to multitask, prioritize urgent needs, and maintain attention to detail.
  • Proficiency with computers, scheduling systems, and electronic medical records.
  • Strong teamwork and communication skills.
  • Reliable attendance and the ability to work the scheduled Monday–Thursday, 3:30 PM–11:00 PM shift.
