What You’ll Do

As a Clinical Support Clerk, you will support front desk, medical records, and clinical operations.

Front Desk Support

  • Greet and assist consumers and visitors with a pleasant, professional, and courteous demeanor.
  • Answer incoming calls, schedule appointments, forward calls to the appropriate person or department, and accurately document messages.
  • Check consumers in for scheduled services.
  • Gather and verify demographic, insurance, and other required consumer information.
  • Enter clinical and administrative information into the Electronic Health Record and other required systems.
  • Assist consumers with completing intake paperwork.
  • Compile new charts and retrieve existing charts as needed.
  • Monitor daily provider schedules to help ensure consumers are seen in a timely manner.
  • Collect fees and copayments in accordance with established procedures.
  • Reconcile consumer accounts and complete follow-up activities related to outstanding balances.
  • Complete charge-slip reconciliation.
  • Maintain the confidentiality of consumer, medical, and financial information.
  • Perform clerical functions that support front desk and billing operations.
  • Provide administrative support or coverage at other assigned locations when needed.

Medical Records Support

  • Protect the security and confidentiality of medical records.
  • Review and respond to authorized requests for consumer information in a timely manner and in compliance with HIPAA requirements.
  • Communicate professionally with consumers and authorized third parties while protecting confidential information.
  • Work with direct care staff to help ensure medical records are complete, current, and accurate.
  • Enter and retrieve clinical information within the Electronic Health Record.
  • File medical records and other documentation using the Medical Records Department’s established storage system.
  • Keep records current by filing information as it becomes available.
  • Maintain the structural integrity and organization of each medical record.
  • Break down larger files when necessary.
  • Retrieve, organize, and refile paper or electronic charts as required.

Clinical and Administrative Support

  • Assist the Medical Department by retrieving, logging, and triaging telephone messages.
  • Assist Medical Department staff with correspondence.
  • Provide data-entry and Electronic Health Record documentation support.
  • Take vital signs and accurately record the information in consumers’ charts.
  • Participate in agency quality-improvement activities.
  • Help improve departmental, program, and overall organizational performance.
  • Complete all mandatory training required for the position.
  • Complete additional training as assigned.
  • Perform other duties assigned by management.

Qualifications

Required

  • High school diploma, GED, or equivalent
  • At least one year of experience performing clerical duties, administrative tasks, and work involving electronic health documents
  • Ability to read, write, speak, understand, and communicate in English sufficiently to perform the responsibilities of the position
  • Ability to use electronic, computer-based, and manual recording and information systems
  • Ability to maintain the confidentiality and security of consumer, medical, and financial information
  • Ability to successfully complete all mandatory training required for the position
  • Ability to complete additional training as assigned

Preferred

  • Previous experience working in a behavioral health setting
  • Bilingual English and Spanish communication skills
  • Experience using an Electronic Health Record
  • Experience supporting front desk, medical records, billing, or clinical operations
  • Familiarity with HIPAA confidentiality requirements
