PRIMARY PURPOSE:

The Shipping & Receiving Coordinator manages the day-to-day flow of outbound customer orders and inbound purchased materials. This position coordinates freight, completes accurate SyteLine ERP shipping and receiving transactions, communicates shipment information, maintains shipping and receiving records, and performs hands-on warehouse and dock activities. The role supports inventory accuracy, strong carrier and customer relationships, and on-time delivery performance.

DUTIES & RESPONSIBILITIES:

• Process and ship customer orders in SyteLine ERP, verifying quantities, shipment dates, customer requirements, and related transaction accuracy.

• Obtain freight quotes and coordinate appropriate shipping methods and carriers based on customer requirements, cost, transit time, and service needs.

• Schedule carrier pickups and transit; prepare and provide required shipment information and documentation.

• Communicate shipment details, tracking information, estimated delivery dates, and delivery changes to customers and appropriate internal teams.

• Track shipments through delivery and proactively follow up on delays, exceptions, or other issues that could affect on-time delivery.

• Build and maintain productive relationships with freight carriers and service providers; communicate service expectations and resolve shipment issues as needed.

• Monitor customer order due dates and shipping priorities; coordinate with production and other internal functions to identify risks and contribute to on-time delivery performance.

• Package, label, stage, and prepare customer orders for shipment in accordance with customer, carrier, and company requirements.

• Prepare and maintain shipping-related records, including freight quotes, bills of lading, tracking information, shipment documentation, and delivery records.

• Load and unload trucks safely and efficiently using a forklift and other material-handling equipment.

• Receive inbound materials and confirm item, quantity, condition, and other relevant information against the purchase order and packing list.

• Identify receiving discrepancies or damaged materials and communicate issues promptly to Purchasing and other appropriate personnel.

• Process receipt transactions accurately and promptly in SyteLine ERP.

• Stock received materials in designated stock locations while maintaining proper identification, organization, and material control.

• Monitor inventory levels, shortages, and material concerns identified during receiving or stocking activities and communicate needs or discrepancies to Purchasing.

• Catalog and retain packing lists and other receiving documentation in the designated record-keeping database.

• Maintain a clean, safe, and organized shipping and receiving area and follow applicable safety, quality, and material-handling procedures.

• Perform other related duties as assigned to support shipping, receiving, inventory accuracy, and operational priorities.

QUALIFICATIONS:

• High school diploma or equivalent required; additional education or training in logistics, supply chain, warehousing, or a related field is a plus.

• Prior experience in shipping, receiving, logistics, warehousing, or a manufacturing environment preferred.

• Experience using an ERP system for shipping, receiving, or inventory transactions preferred.

• Working knowledge of freight quoting, carrier scheduling, shipment tracking, and common shipping documentation preferred.

• Forklift experience required; must be able to obtain and maintain company-required forklift authorization or certification.

• Strong attention to detail and ability to accurately compare purchase orders, packing lists, physical materials, and ERP transactions.

• Strong organizational and time-management skills with the ability to prioritize multiple orders, due dates, pickups, deliveries, and receiving activities.

• Effective written and verbal communication skills, with a customer-service mindset and the ability to work effectively with customers, carriers, suppliers, Purchasing, Production, and other internal teams.

• Basic computer proficiency and the ability to maintain accurate electronic records and documentation.

• Ability to perform the physical requirements of a shipping and receiving role, including standing, walking, bending, reaching, lifting and moving materials, and working safely around loading docks and material-handling equipment, with reasonable accommodation as applicable.
