Job Description
The Operations Coordinator is responsible for ensuring the daily administrative and operational processes of the division are completed accurately, consistently, and on time. This position serves as the primary owner of operational auditing, documentation, reporting, and process compliance while providing backup coverage for the Dispatch team as needed.
The Operations Coordinator works closely with Dispatch, Route Managers, Maintenance, Safety, and Drivers to ensure operational information is complete, accurate, and supports continuous improvement across the division.
Key Responsibilities
Daily Operations Support
- Serve as backup dispatcher during vacations, absences, or periods of high workload.
- Ensure and assist with route closing activities.
- Support customer service and dispatch communications as needed.
- Maintain operational records and documentation.
Operational Auditing & Compliance
- Audit completed routes for accuracy and completeness.
- Verify route closures are completed according to company standards.
- Review operational documentation for missing or inaccurate information.
- Ensure required daily documentation has been completed before the close of business.
- Monitor compliance with operational Standard Operating Procedures (SOPs).
Driver and Safety Administration
- Coordinate PTIL driver participation and maintain associated records.
- Track Driver Observations and coaching completion.
- Maintain onboarding and training records for new drivers.
- Monitor completion of required ride-alongs and training milestones.
- Assist with safety documentation and recordkeeping.
Fleet and Maintenance Administration
- Audit and review the daily Road Call Log.
- Track vehicle downtime and repair status for comparison to the Road Call Log.
- Ensure road call information is accurately documented for KPI reporting.
- Review and drive continuous improvement of DVIR workflow and tracking.
- Coordinate issues and documentation between Operations and Maintenance.
Operational Reporting
- Prepare various daily operational reports and KPI summaries.
- Track Road Calls, PTIL participation, and Driver Observations.
- Monitor onboarding progress and training completion rates.
- Track route closure compliance, accuracy, and disposal documentation verification.
- Verify Help Pay documentation and other operational metrics as assigned.
