​Job Description: 

Position Summary: M - F

The Practice Manager I will work under the direct supervision of the Executive Director of Women's and Children's Services and within the established policies and procedures of the Elliot Hospital. Incumbent will ensure the safe and cost-effective delivery of care with approximately six (6) or fewer providers and/or consisting of one practice. The Practice Manager I provides supervision responding to the needs of patients, staff, and providers. Management of personnel, fiscal resources, delegation of responsibilities, and effective communication.

Primary duties and Responsibilities

  • Oversees daily administrative operations of EPN/EPS practices including patient interactions, utilization/optimization of Epic, clinical workflow, documentation, and resolution of issues, processing financial and business forms, scheduling, customer service and clinical encounters.
  • Manages administrative and clinical staff to ensure timely and accurate completion of tasks, customer service excellence and manages efforts to ensure optimal levels of reimbursement.
  • Creates, monitors and adjusts provider schedules to maximize productivity and to increase patients access. Tracks provider vacation, sick, and continuing education hours. Manages physician on-call schedules.
  • Responsible for monitoring, developing, and achieving patient experience goals.
  • Oversees department staffing and tracks volume to budget projections; participates in budgetary planning, implementation, and monitoring. Researches and describes reasons for budget variances.
  • Identify new opportunities to advance departmental goals, measure performance, and implements quality and performance improvements plans. Facilitate multidisciplinary participation.
  • Foster a cohesive culture through proactive communication, team building and timely follow through.
  • Facilitate meetings of staff including regularly scheduled physician, Physician Assistants/Nurse Practitioners, clinical, front office, and full section meetings as needed. Provide agenda's, minutes and follow-up communication as required.
  • Support alignment of practice operations through participation in efforts to standardize common workflows. Identify new opportunities to advance departmental goals, measure performance, and implements quality and performance improvements plans.
  • Support efforts to increase referral of new patients. Update EHS website as needed.
  • Responsible for ordering supplies and completing check requisitions for continuing medical education (CME) reimbursement. Participate in preparation of budget, monitor budget variances, and implement or make recommendation for improvement.
  • Provide administrative leadership to other Elliot Health System departments (on a limited, temporary, or extended basis) upon request and as appropriate/possible.
  • Complete and deliver annual performance reviews for clinical and administrative staff. Provide ongoing feedback and implement performance improvement plans as needed. Work with Medical.
  • Directors to prepare and execute provider annual reviews.
  • Responsible for professional development of staff. Implement staff training and development programs. Provide leadership of workflow improvement programs.
  • Payment and EOD balancing; FTE Requests, Open Encounter Reports; Office WQ's; Office Charge.
  • Perform other duties as assigned.

Education: Bachelor’s degree or equivalent experience required.

Experience: Previous healthcare management, billing, clinical, technical and/or reimbursement experience required.

Certification/Licensure: Membership in professional organization encouraged.
