This is an opportunity to play a pivotal role in maintaining the accuracy, integrity, and completeness of vital student information while fostering a supportive and efficient team environment. Role Overview As the Records Manager, you will oversee the entire student records function, ensuring all data is handled with the utmost integrity and accuracy. You will manage and train your team, ensure compliance with relevant regulations, and support students by providing timely and quality services related to their records and schedules. Responsibilities Maintain the integrity and confidentiality of all student data, strictly following established guidelines and procedures. Train and supervise staff, ensuring a motivated and accountable team. Plan, schedule, and manage the Student Records function, including statistical analyses and report submissions. Oversee compliance with OASIS and CIS database programs and serve as back-up contact for CIS management. Ensure that records files are audited on a weekly and monthly timeframe to ensure accurate files. Assist students with pay, allowances, leave, scheduling, and transportation matters. Ensure accurate reconciliation of government-provided travel expenses in line with DOL guidelines. Serve as the Center’s Accountability Officer, monitoring student attendance and accountability documentation. Work closely with other departments and respond promptly to inquiries from DOL and company officials. Provide ongoing training and development opportunities for staff, fostering a culture of quality and continuous improvement. Uphold respect and accountability in student interactions, ensuring their needs are met with professionalism and care. Take on additional duties as assigned by Center leadership, supporting the broader mission of the organization. Requirements High school diploma or equivalent required; degree or certification from an accredited program preferred. Minimum two years of supervisory experience in records management, administrative support, or electronic records preferred. Strong computer skills, including proficiency in spreadsheets and word processing applications. Excellent communication skills, both written and verbal. Ability to motivate and manage a team, with sound judgment and problem-solving skills. Commitment to confidentiality, accuracy, and adherence to regulatory requirements.
