Position Overview

The Project Coordinator oversees the end-to-end execution of digital, creative and media projects. This role serves as the primary liaison between clients and internal teams, ensuring projects are delivered on time, within scope, and at the highest quality. The coordinator combines project management discipline with a strong client-service mindset to deliver an exceptional experience from onboarding to project completion as well as ongoing campaign coordination.


Key Responsibilities

  • Conduct client onboarding sessions and coordinate priorities across creative, media, digital marketing, development, production, and other internal teams.
  • Own project kickoff through final delivery, ensuring all milestones, dependencies, and deliverables remain on schedule.
  • Manage project lifecycles, including creative reviews, approvals, production timelines, and final delivery.
  • Ensure all stakeholders have the information necessary to execute work efficiently and accurately.
  • Coordinate and document client feedback, ensuring accuracy and clarity in communication with internal teams.
  • Set clear expectations regarding timelines, deliverables, responsibilities, and approval deadlines.
  • Present media schedules for approval and confirm all details (placements, dates, rates).
  • Facilitate internal and external review meetings to ensure alignment and timely feedback.
  • Escalate risks or bottlenecks impacting deliverables or timelines.
  • Manage client offboarding, asset transfers, and account closures for cancellations or non-renewals.
  • Maintain SLA compliance across all deliverables and ensure adherence to client and agency standards.
  • Perform quality control reviews before client delivery to ensure completeness and accuracy.
  • Maintain accurate project reporting/documentation, including project status, timeline adherence, workload, and delivery metrics.
  • Provide regular updates to leadership regarding project risks, resource constraints, and client concerns.

Qualifications

  • Bachelor’s degree in Marketing, Communications, or related field preferred.
  • 1–3 years of experience in project coordination or client service within a marketing or creative agency.
  • Familiarity with creative production workflows, media buying, and project management tools.
  • Basic working knowledge of Microsoft Office Project, Word, Excel, PowerPoint, Workamajig, Asana and/or other PM platforms/software.


Location

This is an on-site role (Monday–Friday) at our office near Hidden River Parkway (Fletcher & I-75). Hybrid and/or remote work is not available.
