We are seeking a compassionate, highly organized Office Manager with experience in a therapy, counseling, medical, or behavioral - health setting. This role is the administrative backbone of our ranch - supporting clients, staff, and daily operations with professionalism and heart. Responsibilities include (but are not limited to): Client Intake & Coordination: Manage new client inquiries, intake paperwork, eligibility verification, and onboarding for therapy services. Scheduling Management: Coordinate therapy sessions, staff calendars, arena/horse usage schedules, cancellations, and waitlists. Human Resources Support: Assist with onboarding, maintaining personnel files, timesheet tracking, compliance documentation, and communication with staff. Administrative Operations: Oversee daily office operations, maintain records, manage supplies, and ensure smooth communication across the ranch. Accounting & Billing: Support bookkeeping tasks such as invoicing, payment tracking, expense reporting, and coordination with the ranch’s accountant. Client & Visitor Support: Serve as the first point of contact for families, veterans, volunteers, and community partners. Qualifications Minimum 1 year of experience in a therapy, medical, counseling, or similar office environment. Strong understanding of client confidentiality, HIPAA aligned practices, and trauma informed communication. Experience with HR processes, scheduling systems, and basic accounting software. Excellent communication, organization, and multitasking skills. Comfort working in a ranch environment around horses and outdoor activity. Passion for serving veterans, children with special needs, and their families. Work Environment Located on a working equine therapy ranch in Plant City, FL.
