Responsibilities
The Administrative Assistant/Receptionist will be point of contact for all administrative and reception needs for our El Segundo, CA office and may include some administrative overflow from our San Jose, CA office when necessary. This person will oversee daily business operations and will act as the operational anchor of the office and company, handling all administrative systems, facilities (in partnership with Facilities Management), workflows, and communications. We are seeking an individual who is well-versed in day-to-day office management, client management, customer service and other related administrative office responsibilities. This individual will support multiple Partners and Managers' clients within the office.
General day-to-day responsibilities:
- Provide support & communication to all clients, partners and team members as needed
- Manager employee and office calendars in Microsoft Outlook
- Manage, maintain, and create Client Portals when necessary
- Coordination of tax work papers, Sure prep, and tax return assembly
- Handle wire transfers, check deposits, credit card charges into CCH & QuickBooks
- Client Administrative Duties:
- Preparation of Engagement Letters for Clients
- Enter client expenses, follow up on collections, client billing & invoices/statements
- Assist with general office maintenance & upkeep
- Maintain copy machine, kitchen area, inventory supplies and order as needed
- Document organization including scanning, filing & sorting mail
- Other duties as assigned related to the needs of the business, our clients, and partners
- This position does require occasional and seasonal overtime and rotating evening/weekend hours during tax season (February - April)
General office hours are 9:00 am - 5:00 pm
Please note this position requires this individual to be 100% in office daily Monday through Friday and not eligible for remote or WFH
Qualifications
Starting salary range for this position is between $58K-62K and will be finalized based on the candidate's years of relevant experience and local cost of labor
- 2 -3 years of experience working as an administrative assistant or in an administrative capacity where the aforementioned role’s responsibilities were part of daily routine
- Previous tax admin or accounting experience is highly desired, not required
- Strong knowledge of and proficiency with Microsoft Office Suite, and related software
- Excellent and professional level of verbal and written communication skills
