About the Opportunity:
We are a growing water damage, mold remediation, and property restoration company serving Southwest Florida, and we are looking for an exceptional Office Administrator / Customer Service Coordinator to become a key member of our team.

This is much more than an “answer the phone” position. You will be the central point of communication between our customers, field technicians, field management, and office operations. Your ability to stay organized, communicate clearly, and keep jobs moving will directly impact our customers’ experience and our company’s success.

Restoration is a fast-paced business. Our customers are often calling because something unexpected has happened to their home or property. We need someone who can remain calm, compassionate, organized, and professional while gathering the right information and helping our team respond quickly.

If you enjoy helping people, solving problems, keeping things organized, and being part of a growing team, we would love to hear from you.

What You’ll Do:

Customer Service & Incoming Calls
  • Answer incoming telephone calls professionally and promptly.
  • Serve as the first point of contact for new and existing customers.
  • Ask the appropriate questions to qualify new leads and service calls.

Scheduling & Job Coordination
  • Schedule new inspections and restoration projects.
  • Maintain and actively manage the company’s daily and weekly job schedule.
  • Coordinate technicians, field management, appointments, job monitoring, and customer access.
  • Help prioritize emergency calls and time-sensitive projects.
  • Track jobs from the initial customer call through completion.
  • Follow up with customers regarding appointments and job progress.

Office & Administrative Responsibilities
  • Maintain accurate customer and job information in company software.
  • Enter and update customer records and job notes.
  • Maintain organized electronic records and documentation.
  • Assist with emails, correspondence, spreadsheets, reports, and other administrative tasks.
  • Monitor company email and help ensure important communications receive timely responses.
  • Assist management with additional administrative and operational responsibilities as needed.

What We’re Looking For:
The ideal candidate is someone who is extremely organized and takes pride in staying on top of the details.

You should be comfortable having several things happening at the same time. The phone may be ringing, a technician may need information, a customer may have a question, and a new emergency job may need to be added to the schedule — all at once.

You don’t need to know everything on day one, but you do need to be someone who can learn quickly, communicate well, take ownership, and figure things out.

Required Qualifications
  • Excellent organizational and time-management skills.
  • Ability to multitask and prioritize competing responsibilities.
  • Strong telephone and customer-service skills.
  •  Professional verbal and written communication.
  • Able to maintain professional and compassionate communication  in stressful situations
  • Comfortable working in a fast-paced environment.
  • Strong attention to detail.
  • Dependable and punctual.
  • Ability to work independently while also functioning as part of a team.
  • Proficiency with Microsoft Outlook, Excel, Word, and other Microsoft Office applications.
  • Comfortable learning and working with multiple software platforms.
Most importantly, we’re looking for someone who sees something that needs to be done and takes ownership of getting it done.
