As an Admission and Financial Assistant, you’ll work closely with patients, clinicians, and other staff to make sure admissions are completed accurately, financial information is clearly communicated, and patients have the support they need throughout the process.

POSITION SUMMARY

The Admission and Financial Assistant supports patients throughout the admission and financial process by coordinating admission paperwork, gathering insurance and third-party payor information, completing financial evaluations, and assisting with payment and billing-related questions. This position also supports accurate patient records, data entry and reporting, scheduling, and communication between patients, clinicians, and third-party payors.


TASKS AND RESPONSIBILITIES

  1. Treat all individuals with dignity and respect while maintaining agency standards of confidentiality, professionalism and objectivity. 
  1. Assist in gathering third-party payor information from patient and obtain all appropriate releases to allow for collection of payment from third party sources.
  2. Conduct the Admission process for all Residential, Outpatient and prescribing patients, using integrated resources.
  3. Communicate with third-party payors regarding payment for services received by covered individuals. This includes oral and written communications.
  4. Monitor third-party payor pre-certifications and reviews and notify counselors when they need to be completed.
  5. Help monitor file compliance to ensure completeness.
  6. Input patient data from tracking forms as provided by clinicians.
  7. Assist clinicians in various duties regarding data completion and retrieval.
  8. Provide financial evaluations to patients to establish a sliding fee charge at the time of the placement screening and update this sliding fee charge annually thereafter if the patients is still active. Obtain all appropriate releases to third party payors.
  9. Receive and record payments made by patients in person at 320 North Eisenhower Avenue. A receipt will be given the patient and the payment properly safeguarded until deposit.
  10. Participate with other staff members in patient scheduling.
  11. Accept and answer all questions asked by patients or interested parties regarding charges for services provided by Prairie Ridge.
  12. Complete a review of admission and financial paperwork at each level of care change and discharge.
  13. Answer telephone as a backup to Support Staff.
  14. Communicate with all staff regarding billing discrepancies.
  15. Responsible for data entry for the Department of Transportation.
  16. Responsible for internal patient data retrieval & reporting when needed in Cerner.
  17. Maintain all confidentiality requirements and regulations.
  18. Other duties as assigned by the Office Manager or designee.

 

QUALIFICATIONS

  1. Understanding of the mission of Prairie Ridge and patients we work with.
  2. Minimum of two years experience working within the medical office field.
  3. Proficiency in managing data collection system and computer management.
  4. Proficiency in typing, filing and general office skills, as well as oral and written communication skills.
  5. Ability to meet the public and agency patients in a warm, helpful manner.
  6. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel objects, tools or controls; and talk or hear. The employee may be required to walk and stoop, kneel, crouch, or crawl.  The employee is often required to stand, reach with hands and arms, and climb or balance.
  7. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or more up to 35 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, and the ability to adjust focus.
