Department: Business Office (Cash Management)

General Statement of Job

The Accountant II is responsible for reconciling all bank accounts and managing general ledger accounts, including cash, endowments, and accounts receivable. Prepares financial analyses and reports, including the Annual Comprehensive Financial Report (ACFR). Applies generally accepted accounting principles to record financial information and prepare financial reports. Ensures the accuracy, completeness, and validity of financial data.  Implements internal accounting processes and controls. Assist other staff with accounting or special projects. Supervises an accounting assistant.

Specific Duties and Responsibilities

Essential Functions:

  • Perform and manage accounting functions in the Cash Management area of the Business Office, including account analysis, reconciliations, and preparation of monthly management reports.
  • Prepare accurate and timely financial reports, including the cash flow statement.
  • Prepare monthly bank reconciliations, management and board reports and ensure accuracy and completion in a timely manner.
  • Monitor daily bank transactions and bank account balances and ensure that collateral remains sufficient.
  • Coordinate the completion of monthly transparency reports and ensure the accuracy and validity of the financial data.
  • Assist with the preparation of the Annual Comprehensive Financial Report (ACFR), in accordance with established guidelines.
  • Develop and implement procedures and internal control measures.
  • Prepare ad hoc bank transactions,  and journal entries, and maintain required documentation.
  • Regularly communicate with college staff and students, and external agencies.
  • Perform analysis and projections on financial data and budgets.
  • Assist other staff members with accounting projects when necessary.
  • Provide internal and external customer service.
  • Assist with the preparation of board motions.
  • Cross-train other staff and maintain working knowledge of different duties when assigned as a backup role.
  • Ensure compliance with college, state/federal, and other pertinent regulations and policies.
  • Maintain awareness of changes in industry and state/federal regulations.
  • Prepare audit reconciliations and supporting documentation for internal and external audits, including financial reports, notes, transmittal letters, statistical tables, and fraud surveys.
  • Assists with the review of audit items.
  • Carry out duties and responsibilities with limited supervision.
  • Makes decisions and establishes work priorities on essential procedure-oriented operations.
  • Travel throughout the college district, as needed.
  • Supervise an accounting assistant.
  • Perform other duties as assigned.

Required Education and Experience

  • Bachelor’s degree in accounting or finance is required.
  • At least three (3) years of accounting experience required.
  • Experience with Workday ERP system is preferred.
  • Experience in a higher education institution preferred.

Required Knowledge, Skills and Abilities

  • Excellent oral, written and interpersonal communication skills.
  • Strong computer skills with knowledge of Microsoft Office including, but not limited to, Word, Excel, PowerPoint, and Outlook, the Windows environment, and internet research skills.
  • Knowledge and understanding of accounting principles and practices, including complex calculations across multiple funding sources, and the ability to prepare and present financial analysis of funds clearly and concisely.
  • Proficient in the preparation of worksheets using Excel.
  • Familiarity with accounting functions and compliance with laws pertaining to assigned functions.
  • Proficient with ten key by touch.
  • Ability to prioritize, organize, and complete multiple tasks with attention to detail, within stated deadlines.
  • Ability to adapt to constant change and periods of fast-paced, high-intensity work situations.
  • Ability to work evenings and/or weekends as needed; willing to travel throughout the college district using own means of reliable transportation.

  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations with limited standardization.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Physical Requirements

  • Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
  • Bending the body downward and forward by bending the leg and spine.

  • Expressing or exchanging ideas by means of the spoken word, including the ability to convey detailed or important instructions to other workers accurately and concisely.
  • Sitting or standing, particularly for sustained periods of time.
  • Bending the body downward and forward by bending the spine at the waist. It occurs considerably and requires full motion of the lower extremities and back muscles.
  • Close visual acuity to perform tasks such as preparing and analyzing data and figures; transcribing; viewing a computer terminal, and extensive reading.
  • Mobility to accomplish tasks, particularly for long distances or moving from one work site to another.
