Job DetailsJob Location: mcallen, TX 78503 The Data Entry Clerk is responsible for accurately entering, updating, and maintaining maintenance records, work orders, equipment information, and preventive maintenance data. This position supports the Maintenance Department by ensuring all maintenance documentation is complete, organized, and readily accessible while assisting with administrative tasks that improve department efficiency.   Responsibilities - Enter and update maintenance work orders into the maintenance management system. Maintain accurate records of equipment repairs, preventive maintenance, inspections, and downtime. Input purchase orders, invoices, parts usage, and inventory information related to maintenance activities. File and organize maintenance documents, service reports, manuals, and equipment records. Track preventive maintenance schedules and notify the Maintenance Manager of upcoming or overdue tasks. Generate maintenance reports and spreadsheets as requested. Verify data accuracy and correct errors or inconsistencies. Maintain confidentiality of company records and information. Assist with inventory data entry for spare parts and maintenance supplies. Coordinate with maintenance technicians to ensure work orders are properly documented and closed. Support administrative functions such as scanning, copying, filing, and preparing reports. Communicate effectively with other departments regarding maintenance documentation. Perform other duties as assigned.   Experience - Minimum 1 year of data entry or administrative experience; maintenance or manufacturing experience is a plus. Strong computer skills, including Microsoft Excel, Word, and Outlook. Experience with CMMS (Computerized Maintenance Management System) is preferred. Excellent attention to detail and accuracy. Strong organizational and time management skills. Ability to handle multiple tasks and meet deadlines. Strong verbal and written communication skills. Accurate typing and data entry skills. Basic understanding of maintenance terminology and equipment records. Ability to analyze and organize large amounts of data. Ability to work independently with minimal supervision. Strong problem-solving and organizational skills. Ability to maintain confidentiality.     Education and Knowledge - High school diploma or equivalent required; technical certification preferred. Knowledge of mechanical, electrical, and hydraulic systems. Computer literacy (Excel, Outlook, maintenance tracking systems). Understanding safety and lockout/tagout (LOTO) procedures. Bilingual (English/Spanish) preferred.   Physical Requirements - Prolonged periods of sitting and working at a computer. Frequent use of hands and fingers for typing. Occasionally lift and carry up to 20 pounds. Ability to walk through warehouse or production areas when necessary.   Work Environment - office environment within a warehouse/production facility. Occasional exposure to warehouse noise and equipment while gathering maintenance information. Standard business hours with occasional overtime as needed.
