Job Summary:

The Purchasing Assistant supports the procurement function byĀ assistingĀ with the sourcing, ordering, and tracking of materials, supplies, and servicesĀ requiredĀ for production and operations. This role ensuresĀ timelyĀ andĀ accurateĀ processing of purchase orders,Ā maintainsĀ vendor communication, and supports inventory and supply chain efficiency.

The Purchasing Assistant works closely with production,Ā logistics, and vendors to ensure materials are available to meet operational demands.

Responsibilities:

  • AssistĀ in the creation and processing of purchase orders for materials, supplies, and services
  • Track and follow up on orders to ensure on-time delivery
  • Communicate with vendorsĀ regardingĀ pricing, availability, lead times, and order status
  • MaintainĀ accurateĀ purchasing records, including order confirmations, invoices, and receipts
  • AssistĀ in resolving discrepancies related to orders, including pricing, quantities, or damaged materials
  • Maintain and update vendor information and pricing in ERP systems
  • Support cost control efforts byĀ identifyingĀ pricingĀ discrepancies or opportunities for savings
  • ​Prepare reports related toĀ purchasingĀ activity, order status, and vendor performance
  • Ensure compliance with company purchasing policies and procedures

Requirements

Qualifications:

  • Experience:Ā 1-3 years of experience inĀ purchasingĀ or procurement administrative support
  • Education:Ā High school diploma or equivalent required;Ā Associate’s degree in Business, Supply Chain, or related field preferred
  • Experience in a manufacturing or industrial environment preferred
  • Experience with ERP systems andĀ purchasingĀ software preferred
  • ProficiencyĀ in Microsoft Office (especially Excel and Outlook)

Knowledge, Skills, & Abilities:

  • Strong organizational and time management skills
  • Attention to detail and accuracy in data entry and documentation
  • Basic understanding ofĀ purchasingĀ and inventory processes
  • Effective communication skills with vendors and internal teams
  • Ability to manage multiple priorities in a fast-paced environment
  • Problem-solving skills with the ability to resolve issues efficiently

Physical Requirements:

  • Ability to sit, stand, and move throughout the workday
  • Occasional lifting of office materials or small packages (up to 25Ā lbs.)
  • Ability to work in various environmental conditions common to a manufacturing facility (e.g., varying temperatures, noise levels, potential for dust/debris, and wetĀ floors).

Work Schedule:Ā 

  • Monday-Friday,Ā 8:00 am to 4:00 pm.
  • ​Depending on production needs, some weekend work may beĀ required.
