Title: Purchasing Administrator

Location: Metro Dallas, TX

Job Overview

Reporting to the Purchasing Manager, the Purchasing Administrator contributes to the success of the business unit by working closely with New Home Sales Representatives, Construction Team Members, and Vendors. The Purchasing Administrator ensures smooth flow of documentation and communications throughout the homebuilding process.

Your day-to-day responsibilities will include:  

  • Oversee the day-to-day review and approval of selections and Addendums, including management sign-off in system.
  • Coordinate with Design Center and other outside vendors on selections, buyer meetings, and prioritize homes by need.
  • Update and maintain Interior and Exterior Design Packages. Coordinate with Vendors on samples and material level documentation.
  • Analyze home selection information to verify accuracy. Report and communicate errors with Sales Management to facilitate corrections in a timely manner.
  • Complete pricing requests from sales and the Design Center. Conduct material takeoffs to support pricing requests. Coordinate with vendors on pricing needed for price requests.
  • Coordinate with various internal departments and external partners to ensure accuracy of information and timely communication.
  • Collaborate with sales and construction teams to confirm accuracy, completeness and timeliness of documents throughout the project.
  • Support New Home Sales Representatives on various sales system processes, requirements and document management aspects.
  • Develop and provide guidance to staff while promoting a collaborative environment.
  • Provide support for other projects or duties as assigned.
  • Maintain and distribute reports and other related documents.
  • Backup the construction scheduling system (BuildPro) support team as needed
  • Backup starts process as needed
  • Backup the purchasing team on VPO’s and PO’s as needed
  • Backup the Contract and Closing Administrator as needed

Essential Requirements 

High School Diploma, or equivalent.

Degree or Diploma in Business Administration is preferred. Minimum 2 years of administrative-related experience.

Valid driver’s license and access to a reliable vehicle.

Satisfactory verification of criminal record check.

Working Conditions

Work in standard office environment during regular business hours. Travel to offsite meetings or communities required on an infrequent basis. Overtime may occasionally be required. A hybrid office/remote work schedule during regular business hours may be available.
