Who We Are

At Essential Services LLC, we support individuals with intellectual and developmental disabilities by connecting them with qualified Direct Support Professionals (DSPs) who provide in-home and community-based care. Accurate payroll and record management play a critical role in keeping services consistent, compliant, and running smoothly.

About the Role

This is a full-time, in-office position, Monday through Friday from 9:00 AM to 5:00 PM.

As a Payroll Specialist, you are responsible for maintaining accurate records of DSP hours worked, mileage, and scheduling. You will work closely with DSPs and internal teams to verify time, ensure compliance with client-authorized hours, and support payroll-related processes.

This role requires strong attention to detail, organization, and communication. You will play a key role in ensuring accuracy, compliance, and efficiency in daily operations that directly impact both employees and clients.


Key Responsibilities

1. Data Entry & Record Management

路 Enter and maintain accurate data in Excel, Word, and internal systems

路 Ensure all DSP hours and mileage are recorded correctly

路 Maintain organized and up-to-date records


2. Payroll & Time Verification

路 Verify and adjust DSP hours, schedules, and mileage as needed

路 Confirm accuracy of clock-in and clock-out GPS locations

路 Ensure compliance with client-authorized hours and overtime regulations


3. State Reporting & Compliance

路 Upload client hours and mileage into the State of Oregon system

路 Ensure all entries meet required guidelines and deadlines

路 Monitor usage of client-authorized hours and mileage allotments


4. DSP Support & Communication

路 Communicate directly with DSPs to verify hours and mileage

路 Assist DSPs with updating personal information (contact details, emergency contacts, etc.)

路 Respond to phone calls, texts, and emails in a timely and professional manner


5. Documentation & Reporting

路 Prepare and send client Care Summaries

路 Maintain accurate documentation of adjustments and communications

路 Support transparency and consistency across payroll records


6. Team Support & Operations

路 Participate in the rotation of the Emergency After-Hours Phone

路 Encourage a collaborative and cohesive team environment

路 Complete additional tasks as assigned by the Payroll Manager or Supervisor

Requirements

Minimum Qualifications

路 At least 21 years of age

路 Ability to pass a DHS criminal history check

路 Legally eligible to work in the United States

路 No substantiated abuse or neglect findings

路 Not listed on the CMS excluded or debarred providers list

路 Not the spouse of a client you would directly work with

路 Valid driver鈥檚 license and auto insurance (if applicable to duties)
