Job DetailsJob Location: SEWELL, NJ 08080Salary Range: $18.00 - $24.00 HourlyPenn Medicine - Becker ENT & Allergy is a fast-growing, multi-specialty practice with several locations throughout Philadelphia and Central and South Jersey. Our team includes otolaryngologists, audiologists, facial plastic surgeons, allergists, speech-language pathologists, and nurse practitioners. We provide specialized, patient-centered care for a wide range of ENT and allergy-related conditions. As we continue to grow, we are seeking a highly organized, motivated Medical Receptionist/Allergy Coordinator to join our South Jersey team. Primary office locations include Voorhees and Sewell, with occasional travel to additional sites as needed. Position Summary The Allergy Coordinator plays a vital role in ensuring smooth daily operations of the allergy department. This position is ideal for someone with strong customer service skills who thrives in a fast-paced clinical environment and can effectively multitask while maintaining attention to detail. Key Responsibilities Front Office & Administrative Duties: Patient check-in and check-out Answer and manage incoming phone calls Schedule follow-up appointments and manage outstanding orders Review provider schedules daily and correct scheduling errors Ensure AIT (Allergy Immunotherapy) patients are scheduled accurately Send weekly appointment reminders (including medication discontinuation reminders) Maintain referral tracker entries Sort and scan faxes daily Work closely with billing to resolve patient billing inquiries Maintain communication with pre-registration to prevent insurance or billing issues Clinical & Coordination Support: Answer and manage daily clinical pool messages Assist with rooming patients (vital signs, height, weight, detailed intake) Provide scribing support as needed Track lab results and notify physicians upon finalization Manage biologic medication coordination: Call pharmacies to schedule deliveries Receive and properly store biologic deliveries Office Operations: Communicate with pharmaceutical representatives and coordinate office lunches Maintain office cleanliness Clean break room daily Take out trash and recyclables as needed Ensure office supplies are consistently stocked Qualifications Prior experience in a medical office (allergy, ENT, or specialty practice preferred) Strong customer service and communication skills Ability to work well under pressure and manage multiple tasks Detail-oriented with strong organizational skills Comfortable working collaboratively with clinical and administrative teams Familiarity with EMR systems preferred Why Join Us?
