The Practice Manager oversees a multidisciplinary team and ensures smooth operation of the assigned health center or team. This role involves leadership, customer service, quality assurance, operational management and compliance with regulations. is responsible for the day-to-day oversight of team operations, including customer service, assuring access for patients, and the assigned team’s financial viability. The Practice Manager participates as a member of the leadership team to ensure safe, high quality, patient centered care is provided.
Accountabilities Include:
Customer Service & Staff Training
- Provide high quality customer service to patients, staff, insurance carriers, and community partners, aiming to meet or exceed La Clinica S.E.R.V.E standards.
- Monitor patient satisfaction trends including survey data, telephone wait times, abandonment rate and MyChart response times, ensuring improvement targets are met.
- Foster a customer-focused environment through staff training and positive reinforcement.
Clinic Operations ManagementÂ
- Oversee daily clinic operations to ensure efficient patient access, satisfaction and financial viability.
- Collaborate with supervisors and management to set and achieve key performance indicators for patient volume, utilization and no-show rates. Create action plans to support the achievement of KPI’s.
- Supervise and support team leads and care team members, providing guidance, coaching and performance management aligned with clinic goals and customer service standards.
Leadership & Development
- Lead the implementation of the patient-centered care model and organizational best practice standards, in collaboration with the site medical director.
- Participate in the development of policies, procedures and workflows to ensure high-quality patient care working closely with the quality team.
- Provide coaching, mentorship, and performance evaluation for staff, ensuring timely and fair reviews in line with organizational policies.
- Serve as operational support leader for discipline-specific teams.
Budget & Financial Oversight
- Develop and manage the annual budget for assigned health center or team, collaborating with supervisor and finance team to evaluate expenses and revenues.
- Monitors encounter completion rates; payor mix and membership attribution to support financial sustainability. Develop action plans as necessary to meet team goals.
Quality Improvement & Efficiency
- Monitor and track medical quality metrics for assigned providers and quality performance contracts. Develop improvement plans as necessary.
- Use data-driven methods to improve clinic flow, productivity Works with Quality Team in the development of policy, procedures and quality initiatives and in developing, implementing, and maintaining clinical policies and procedures to ensure quality patient care.
- Work with the leadership team to recommend and implement operational policies, procedures and projects in alignment with organizational goals.
- Participate in relevant councils, committees, and meetings to contribute to team improvements, support, community needs, and organizational planning.
- Support a team-based approach to problem solving and accountable communication.
Staffing & Human Resources
- Collaborate with HR and recruiters to support staff selection and retention
- Use clinic data to inform employee development and planning
- Ensure sufficient provider coverage by managing provider schedules in coordination with the patient experience manager and site medical director.
Additional Duties
- Maintaining regular, consistent, and predictable punctuality and attendance, including being available, accessible, and able to complete all required essential functions and assigned job tasks onsite as directed during your regularly assigned schedule or your assigned site(s) normal business hours. 
- Completes assigned trainings via La Clinica’s learning module system (Relias) by required due date.
- Other duties as assigned.
- Oversee the administration of Epic templates and providers, scheduling and coordination with the Patient Experience Manager.
- Perform other duties as assigned to support clinic operations and organizational objectives.
Qualifications:
Must be able to interact with a variety of individuals at various levels under stressful circumstances while exercising sound judgement, tact, and diplomacy; work productively both independently and in a team setting; communicate with clarity, both verbally and in writing to groups and individuals.
Education and/or Experience:
Required:
- Minimum: High School Diploma.
- Three to five years of experience in medical/dental office.
- Three to five years or medical/dental supervisory.
- Excellent interpersonal communication and problem-solving skills.
- Skills to intervene and promote reconciliation, compromise and positive outcomes in difficult interactions.
- Skilled at using electronic health records as applicable to area of work (EPIC, EagleSoft).
Preferred:
- Bachelor’s degree in related field.
- Related experience in a Community Health Center setting.
- BLS HealthCare Provider (First Aid/CPR).
- Basic knowledge of adult learning models.
