Position Summary: The Fleet Administrative Assistant provides comprehensive administrative and operational support to the Fleet Services department. This role handles day to day administrative tasks, supports accounting functions, manages equipment documentation, and assists with special projects to ensure smooth and efficient fleet operations. The ideal candidate is detail oriented, organized, and thrives in a fast paced environment.

Key Responsibilities:

  • Provide general administrative support to fleet leadership and team members.
  • Assist with Accounts Receivable (A/R) and Accounts Payable (A/P) processes.
  • Support various ongoing projects, including reviewing timesheets, managing invoicing, coordinating with vendors, and arranging travel.
  • Perform automobile appraisals as needed.
  • Create, manage, and process documentation for newly acquired and disposed fleet equipment.
  • Update operating systems and internal records to accurately reflect equipment acquisition and disposal activity.
  • Maintain organized files, reports, and digital records in accordance with company policies.
  • Collaborate with cross functional teams to meet deadlines and support operational priorities.

Required Qualifications:

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, etc.).
  • Strong understanding of modern software tools and digital workflow systems.
  • Excellent planning, organizational, and time management skills, with the ability to adapt to a dynamic schedule.
  • Strong multitasking ability and the capacity to work effectively in a fast paced, team oriented environment.
  • High attention to detail paired with strong self motivation.
  • Valid driver’s license required.
  • Excellent written and verbal communication skills.
  • Ability to successfully pass a drug test, fit-for-duty test, and background check.
  • Mechanical aptitude is a plus, but not required.
