Job Summary:

The Cemstone / TCC Companies are seeking a highly organized and detail-oriented Executive Assistant to serve as a trusted administrative and operational partner to the Executive Leadership Team (ELT), including the Chief Executive Officer, the President & Chief Operating Officer, and the Chief Financial Officer.  This position is in-office Monday through Friday.

This role supports fast-paced, seasonally driven business operations across multiple locations and business units. The Executive Assistant anticipates needs, manages competing priorities, and protects executive time.

In addition to direct executive support, this position may support other internal departments on a project-by-project basis or where the work is strictly administrative in nature, as assigned and prioritized by the Executive Leadership Team.

Key Responsibilities Include:

  • Serve as a strategic and administrative partner to the CEO, President & COO, and CFO.
  • Execute responsibilities using platforms such as Microsoft 365, OneDrive, Concur, Workday, and possibly NetSuite.
  • Manage multiple executive calendars, assess urgency and priorities, and resolve scheduling conflicts.
  • Facilitate executive meetings, prepare agendas and materials.
  • Develop and own a follow-up system that ensures visibility, accountability, and timely completion of commitments without requiring executive prompting.
  • Act as a confidential resource to leadership and support strategic initiatives and special projects.
  • Serve as the front-line representative for the executive office, greeting internal visitors, responding to inquiries, and appropriately referring substantive questions and key business issues while following up to ensure resolution.
  • Prepare, proofread, and edit correspondence, reports, spreadsheets, presentations, and other confidential materials.
  • Prepare professional PowerPoint presentations and materials.
  • Leverage AI-enabled tools as a thought partner to improve the quality, clarity, and efficiency of communications, research, and documentation.
  • Schedule and arrange internal and external meetings, including space procurement, equipment, and food service arrangements within established budgets.
  • Coordinate travel arrangements including airfare, lodging, ground transportation, and related logistics for ELT and internal team members.
  • Order and maintain office supplies; manage the distribution of sporting event tickets; sort and distribute incoming mail.
  • Proactively identify opportunities to improve efficiency, reduce administrative burden, and strengthen organizational effectiveness.
  • Support other internal departments on a project-by-project basis, or where the work is strictly administrative in nature, as prioritized by the ELT.
  • Manage a variety of administrative projects requiring independent judgment and action.
  • Perform other duties as assigned.

Required Skills:

  • Superior writing and proofreading skills. Ability to draft reports, business correspondence, and policy and procedure manuals; communicate clearly with team members and management in both positive and difficult situations; and present information to and respond to questions from team members.
  • Ability to handle sensitive and confidential information with integrity and sound judgment.
  • Strong attention to detail and organizational skills to manage multiple competing priorities effectively.

Experience/Education:

  • Bachelor’s degree in business administration, communications or related field preferred
  • 5+ years in administrative or executive support roles in a corporate environment with proven support of senior executives

Pay Range for this role is expected to be: $26.00-$34.00 per hour depending on experience and qualifications and is eligible for benefits.
