Primary Purpose

The primary purpose of Payroll Administrator is to process payroll end-to-end (hours, overtime review, shift differentials, PTO, deductions, taxes) with full compliance.  This individual will also prepare payroll related journal entries and reconcile payroll and benefit General Ledger accounts so payroll, taxes and benefits tie out each period. 

 

 

Duties and Responsibilities

  • Process bi-weekly payroll for non-union hourly and salaried employees
  • Accurately calculate wages, overtime, shift differentials, PTO, bonuses, and other earnings
  • Ensure compliance with federal, state, and local wage and hour laws (FLSA, IRS, PA regulations)
  • Maintain payroll records related to new hires, terminations, pay changes, and deductions
  • Review payroll deductions including benefits, retirement contributions, and garnishments
  • Respond to employee inquiries regarding payroll, deductions, and tax-related questions
  • Maintain strict confidentiality of payroll and employee data
  • Prepare and post payroll-related journal entries to the general ledger
  • Reconcile accrued payroll, benefits, taxes, and related GL accounts monthly
  • Investigate and resolve payroll and benefits variances in collaboration with Controller and HR
  • Support month-end and year-end close processes related to payroll
  • Assist with payroll, benefits, and workers’ compensation audits
  • Coordinate with payroll vendors to ensure accurate reporting and financial integration
  • Work closely with Human Resources and Finance to ensure alignment between payroll, HRIS, and accounting systems
  • Ensure timely and accurate payroll tax filings and year-end reporting (W-2s, 941s, etc.)
  • Assist with process improvements to enhance payroll accuracy and efficiency
  • Other duties as assigned.

 

Qualifications/Skills

 

  • Associate’s or Bachelor’s degree in Accounting, Finance, Human Resources, or related field preferred
  • Minimum of 3–5 years of payroll processing experience in a non-union environment 
  • Experience in healthcare, senior living, or multi-shift environments strongly preferred
  • Hands-on experience with payroll systems such as ADP
  • Working knowledge of payroll accounting, journal entries, and GL reconciliation
  • Strong understanding of payroll tax regulations and wage and hour compliance
  • Proficiency in Microsoft Excel, Word and Office
  • High level of accuracy, organization, and attention to detail
  • Strong problem-solving and communication skills
  • Ability to manage deadlines in a fast-paced environment
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or state regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, employees, and outside vendors.
  • Ability to calculate figures and amounts such as percentages.
  • Ability to solve practical problems, and deal with a variety of concrete variables in situations where only limited standardizations exist.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Education

  • Associate’s or Bachelor’s degree in Accounting, Finance, Human Resources, or related field preferred
