Position Summary

The Compensation & Benefits Analyst is responsible for supporting the design, administration, analysis, and communication of compensation and benefits programs across Hayes Company and Knight-Swift Supply Chain. This role provides analytical support for compensation benchmarking, salary structure administration, market pricing, benefits administration, leave reporting, and HR compliance initiatives.

The Analyst partners with Human Resources, Talent Acquisition, Payroll, Finance, and business leaders to ensure compensation and benefit programs remain competitive, cost-effective, compliant, and aligned with the organization's talent strategy.

Essential Duties and Responsibilities

  • Compensation Administration
    • Conduct market pricing and compensation benchmarking using compensation survey tools and market data.
    • Prepare salary recommendations for new hires, promotions, transfers, and market adjustments.
    • Analyze internal equity, compa-ratios, range penetration, and pay compression issues.
    • Assist with annual compensation planning, merit increases, bonus programs, and salary budget modeling.
    • Analyze compensation trends and prepare recommendations for leadership review.
    • Partner with Talent Acquisition to provide compensation guidance on offers and hiring strategies.
    • Maintain compensation-related data in HRIS and compensation management systems.
    • Conduct job evaluations for new and changed roles, including job documentation, level assignment, and FLSA exemption determination.
    • Support the build and ongoing maintenance of salary structures, pay bands, and job architecture across exempt and hourly populations.
    • Perform wage analysis for hourly and multi-shift warehouse roles, including shift differentials and local market rate comparisons by site.
    • Support geographic differential analysis and market pricing for new locations, including Las Vegas and Indiana.
    • Support pay equity analysis and assist in preparing findings and remediation recommendations.
    • Monitor and support pay transparency compliance, including pay scale disclosure in job postings and state pay data reporting obligations (California, Colorado, Washington, New York, Illinois).
  • Benefits Administration
    • Maintain benefits enrollment, eligibility, and dependent data in the HRIS and vendor systems, and reconcile discrepancies between them.
    • Assist with benefits enrollment, employee questions, dependent verification, and life event processing.
    • Coordinate with benefits vendors to resolve participant issues and ensure timely service delivery.
    • Support annual Open Enrollment planning, testing, communications, and employee education efforts.
    • Monitor benefit eligibility and enrollment reporting.
    • Assist with COBRA, ACA, Section 125, and other benefits compliance activities.
    • Analyze benefits utilization, participation, and cost trends.
    • Support ACA measurement and eligibility determination, with particular attention to variable-hour, seasonal, and contingent populations.
    • Support 401(k) plan administration, including contribution reconciliation, nondiscrimination testing coordination, and Form 5500 preparation support.
  • Leave Administration
    • Support administration of FMLA, ADA accommodations, personal leave, and other company leave programs.
    • Coordinate with employees, managers, payroll, and third-party administrators throughout the leave process.
    • Maintain accurate leave records and ensure compliance with federal, state, and company policies.
    • Track leave utilization, return-to-work dates, accommodations, and related reporting.
    • Assist with employee communications, documentation, and leave-related audits.
    • Analyze leave trends and recommend process improvements to enhance efficiency and compliance.
    • Maintain working knowledge of state-specific leave and wage requirements across our operating footprint, with particular attention to California (paid sick leave, CFRA, meal and rest premium pay, wage statement requirements).
  • HR Analytics & Reporting
    • Develop recurring and ad hoc compensation and benefits reports.
    • Create dashboards and workforce analytics utilizing Excel, HRIS reporting tools, and data visualization software.
    • Reconcile compensation and benefits data between HRIS, payroll, and vendor systems.
    • Perform audits to ensure accuracy of employee compensation and benefits records.
    • Provide data-driven insights and recommendations to HR leadership.
    • Analyze total labor cost across employee and contingent populations, partnering with Talent Acquisition and Finance on contingent labor spend reporting
    • Support HR data governance - defining standard fields, sources, and definitions so compensation and benefits reporting is consistent across systems and sites.
    • Maintain strict confidentiality of compensation, benefits, medical, and personal employee data, exercising discretion in all internal and external communications

Required Qualifications

  • Bachelor's degree in Human Resources, Business Administration, Finance, Accounting, Economics, or related field.
  • 3-5 years of experience in compensation, benefits, or HR analytics. Experience limited to payroll processing or general HR administration is not a substitute.
  • Demonstrated experience with compensation survey participation, market pricing, and salary structure analysis. Required, not preferred - this is the core of the role.
  • Experience administering benefits programs and coordinating with carriers and third-party vendors.
  • Advanced competency in Microsoft Excel
  • CCP, CEBS, SHRM-CP, SHRM-SCP, PHR, or SPHR preferred.

Physical Demands

  • Prolonged periods of sitting and computer work. 
  • Ability to view and analyze data on computer screens for extended periods. 
  • Ability to occasionally lift up to 20 pounds.

Work Environment

  • Professional office environment with hybrid work flexibility where applicable. 
  • Occasional interaction with employees, vendors, and leadership teams.

Travel Requirements

  • Minimal; occasional local travel between sites may be required, up to 10%.
