Position Summary:

The Payroll Assistant supports accurate and timely processing of payroll for a multi-entity healthcare organization. This role is responsible for maintaining payroll data, validating employee time records, assisting with payroll-related accounting functions, and providing excellent support to employees regarding payroll inquiries. The Payroll Assistant works collaboratively with Human Resources and Accounting to ensure compliance with applicable federal, state, and local payroll regulations.

Key Responsibilities:

  • Support the bi-weekly payroll process for multiple entities, ensuring accuracy and timely completion.
  • Review and validate employee timesheets, attendance records, overtime, paid time off (PTO), and leave of absence transactions.
  • Process regular payroll runs, off-cycle payments, bonuses, and other special payroll transactions as needed.
  • Verify wages, earnings, taxes, deductions, and benefit withholdings in accordance with company policies and applicable regulations
  • Respond to employee inquiries regarding pay, timekeeping, payroll deductions, direct deposits, and related matters in a professional and timely manner.
  • Maintain up-to-date payroll records and ensure confidential handling of sensitive employee information.
  • Help with investigating and resolving payroll discrepancies and support internal and external audits.
  • Prepare payroll reports and analyses for management, as requested.
  • Assist with month-end payroll accounting activities, including payroll journal entries, reconciliations, and accruals.
  • Support payroll tax compliance activities and stay current with changes in federal, state, and local payroll regulations. 
  • Identify opportunities to improve payroll processes, accuracy, and efficiency.

Qualifications:

  • High school diploma or equivalent required; associate or bachelor’s degree in accounting, business, or related field preferred.
  • 2+ year of payroll or accounting experience, preferably in a healthcare setting.
  • Familiarity with payroll software (e.g., ADP, Rippling, Paychex) and Microsoft Office Suite.
  • Strong attention to detail and organizational skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
