Position Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support daily office operations and ensure efficient workflow across departments. The ideal candidate will be proactive, professional, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities

  • Manage calendars, schedule meetings, and coordinate appointments.
  • Answer and direct phone calls, emails, and other communications.
  • Maintain organized filing systems, both electronic and physical.
  • Prepare reports, presentations, and correspondence as needed
  • Assist with data entry, document management, and record keeping
  • Assist management with special projects and other administrative tasks as assigned.

Qualifications

  • High school diploma required; Associate's or Bachelor's degree preferred.
  • 2+ years of administrative, office, or executive support experience preferred.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently and prioritize multiple tasks.

Preferred Skills

  • Experience with Microsoft Teams, SharePoint, and cloud-based filing systems.
  • Familiarity with scheduling software and office management procedures.
  • Bilingual (English/Spanish) preferred.
