JOB DESCRIPTION:

We are seeking a friendly, organized, and detail‑oriented Office Representative to join our busy, fast‑paced OB‑GYN clinic. This front‑office role is essential to creating a welcoming experience for our patients while supporting the daily operations of a high‑volume clinical environment. The ideal candidate thrives in a team‑based setting, can manage multiple tasks at once, and remains calm and professional under pressure.

KEY RESPONSIBILITIES:

  • Greet and check in patients in a courteous, compassionate, and professional manner

  • Answer and direct incoming phone calls while providing excellent customer service

  • Schedule, reschedule, and confirm appointments accurately and efficiently

  • Verify insurance information, collect copays, and update patient demographics

  • Manage high patient volume while maintaining accuracy and attention to detail

  • Communicate effectively with clinical staff, providers, and patients

  • Support patient flow and assist with administrative tasks as needed

  • Maintain patient confidentiality and comply with HIPAA regulations

EXPERIENCE/QUALIFICATIONS:

  • High school diploma or equivalent required

  • Prior experience in a medical office or customer service role preferred

  • Strong communication and interpersonal skills

  • Ability to multitask and prioritize in a fast‑paced environment

  • Excellent organizational skills and attention to detail

  • Comfort working with electronic medical records (EMR) and basic computer skills

  • Ability to remain professional, empathetic, and solution‑focused during busy or stressful situations
