Medical Records Assistant

Del Rosa Villa Post Acute is seeking a detail-oriented and organized Medical Records Assistant to join our growing team. This vital role supports the integrity, accuracy, and confidentiality of resident medical records while helping ensure compliance with federal, state, and facility regulations.

Essential Duties & Responsibilities

  • Maintain and organize resident medical records in accordance with facility policies and regulatory requirements.
  • Ensure medical records are complete, accurate, and filed appropriately.
  • Assist with auditing charts for missing documentation and required signatures.
  • Scan, upload, and process medical documentation into electronic records systems.
  • Support admissions, discharges, and transfers by preparing and maintaining resident files.
  • Respond to requests for medical records while safeguarding resident confidentiality and HIPAA compliance.
  • Coordinate with nursing staff, physicians, therapy teams, and other departments regarding documentation needs.
  • Assist with state survey preparation and medical record requests.
  • Maintain record retention and storage procedures.

Qualifications

  • High school diploma or equivalent required.
  • Previous experience in healthcare, medical records, health information management, or administrative support preferred.
  • Knowledge of HIPAA regulations and medical terminology preferred.
  • Strong attention to detail and organizational skills.
  • Proficient in Microsoft Office and electronic medical record systems.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced healthcare environment.
  • Excellent communication and customer service skills.
