Job DetailsJob Location: Bruce Guadalupe Preschool - Milwaukee, WI 53204Position Type: Full TimeEducation Level: High SchoolJob Category: Admin - Clerical POSITION SUMMARY: The Bilingual Administrative Assistant-Enrollment supports recruitment and enrollment activities across UCC schools and provides quality customer service to families during the enrollment process. ESSENTIAL DUTIES AND RESPONSIBILITIES Provides administrative and enrollment support for UCC Schools as needed. Attends recruitment events as assigned, which include night and weekend events. Recruits' families and maintains a waiting list and funded enrollment. Registers children, following the enrollment process. Becomes thoroughly familiar with Head Start Employee Handbook: Human Resources Policies and Procedures, Head Start Operations Manual, and all other HS handbooks, manuals, and resources, and adheres to them Attends all workshops and meetings as deemed necessary by the immediate supervisor. Attends all required staff and parent meetings and activities. Performs data entry functions as necessary to keep files up-to-date Keep the office well-maintained and organized File paperwork and complete reports, as needed Responsible for understanding Head Start Performance Standards and local child care licensing regulations. - Expected to be knowledgeable of the regulations associated with the prevention of occupational disease and injury, including the exercise of universal precautions and the prevention of contamination Check email frequently and reply on time. Create newsletters and announcements as needed. Aid parents with school enrollment procedures and paperwork. Maintain office bulletin boards updated to keep information current and accurate. Answer phone calls promptly and professionally, assist as needed when called on two-way radio Request office supplies, follow procedures with purchase orders, and perform supply inventory weekly/biweekly Attend monthly staff meetings and other training Become thoroughly familiar with the Head Start Employee Handbook: Human Resources Policies and Procedures, Head Start Operations Manual, and all other HS handbooks, manuals, and resources, and adhere to them. Comply with all Health and Safety policies, including ensuring no child is left alone or unsupervised by staff, consultants, contractors, or volunteers while in their care. Provide enrollment and administrative support for all UCC Early Learning programs across all sites as needed. Performs other duties and responsibilities as assigned by their supervisor. COMPLIANCE AND POLICY ADHERENCE Ensure compliance with all Head Start Program Performance Standards, including child safety, documentation, supervision, and classroom quality standards. Adhere to all State Licensing regulations (DPI and DCF), including mandated ratios, health and safety protocols, and staff training requirements. Support and uphold Young Star quality standards by implementing developmentally appropriate practices, continuous quality improvement, and family engagement. Maintain program quality in accordance with the National Accreditation Commission (NAC) criteria, including curriculum implementation, assessments, and teacher-child interactions. Follow the guidelines and expectations outlined in the Early Learning Staff Handbook, including attendance, communication, professional conduct, and daily responsibilities. Comply with all UCC Personnel Policies, including confidentiality, workplace expectations, and team collaboration. Participate in required professional development and training hours to meet federal, state, and accreditation requirements. Ensure active supervision of children at all times, as required by Head Start, licensing, United Community, and NAC guidelines. Accurately complete and submit required documentation (e.g., lesson plans, child observations, incident reports) in a timely manner. Demonstrate cultural competency and uphold program values of equity, inclusion, and respect in all interactions with children, families, and colleagues. Check and respond to emails to ensure timely communication with supervisors, team members, and families, in alignment with agency expectations and professional responsibilities. Qualifications High School Diploma or equivalent required One year of office experience working as a secretary, good organizational and communication skills, attention to detail, and good customer service skills. Fully bilingual in English and Spanish (written and verbal)  Basic knowledge of computer programs – Microsoft Word, Excel, and Google Drive. WORKING CONDITIONS: Ability to stand, walk, and bend, going up and down stairs most of the time. Ability to exert up to 25 pounds of force to lift, carry, push, pull, or otherwise move objects. Noise level in the work environment is moderate to occasionally loud Ability to engage in the repetitive movement of wrists, hands, and fingers – typing and/or writing. Office and school-based environment Local travel required. May be required to travel within UCC Schools buildings to participate in training, such as but not limited to professional development.
