Consonus Pharmacy is a closed-door long-term care pharmacy specializing in the needs of Nursing Home patients and their caregivers. This unique and challenging sub-set of the Pharmacy practice requires a goal oriented, productive, and hard-working Executive Assistant that can thrive in a fast-paced environment.

As the Senior Executive Assistant your responsibilities will include, but are not limited to:

  • Manages the All-Staff meeting planning and calendar with Senior Leadership, coordinates execution with each pharmacy's Executive Assistant, and builds the presentation slides. 
  • Serves as the primary liaison and coordination point for Parent Company leaders, corporate shared service teams (e.g., Intentional Culture, People & Talent Services, Marketing), and Senior Leadership, facilitating communication and driving the successful execution of pharmacy-wide initiatives and projects. 
  • Manages or assists in the coordination of pharmacy-wide activities and events as requested by Senior Leadership (ie. quarterly leadership meeting). 
  • Attends assigned Senior Leadership and Director-level meetings, documenting discussions, decisions, and action items while maintaining strict confidentiality and discretion. 
  • Manages the holiday notification process, coordinating with Shared Services and Executive Assistants across pharmacy locations to ensure accurate, timely, and consistent communication. 
  • Leads a recurring check-in meeting with Executive Assistants to share updates and cascade information from Senior Leadership. 
  • Maintains ongoing communication with Directors of Pharmacy regarding Executive Assistant project assignments and time commitments related to organization-wide initiatives, ensuring Directors remain informed and able to effectively oversee on-site pharmacy operations; collaborates with Directors in providing performance feedback related to these responsibilities. 
  • Maintains a designated backup among the Executive Assistant team to cover company-wide duties during absences. 
  • Demonstrates professionalism and effective communication in all interactions with pharmacy employees, organizational leaders, vendors, visitors, and other stakeholders, serving as a welcoming and knowledgeable point of contact for the pharmacy. 
  • Maintains organized and professional common areas, employee information and administrative resources, and emergency preparedness documentation to support efficient pharmacy operations and a positive workplace environment. 
  • Maintains office equipment, supply inventories, and workplace resources, coordinating ordering, replenishment, repairs, and maintenance to support efficient pharmacy operations. 
  • Coordinates the All Staff meeting and other meetings as needed, ensuring timely communication, scheduling, meeting materials, and logistical support. 
  • Assists with new employee onboarding and orientation by coordinating badges, equipment, supplies, workspace readiness, and other resources to support a positive onboarding experience. 
  • Coordinates onboarding supply fulfillment for new facilities, including the assembly, packaging, and delivery of materials in collaboration with the Facility Transitions Team. 
  • Supports managers, supervisors, and consultants by preparing and coordinating presentations, meeting materials, collaterals, reports, correspondence, and other administrative resources as needed. 
  • Maintains knowledge of customers and their relationship with the company. 
  • Arranges travel for Managers, Consultants, and staff, as needed. 
  • Handles confidential and time-sensitive materials with discretion 
  • Other duties as assigned.

Qualifications

• Bachelor's degree preferred.
• 3–5 years of experience as an Executive Assistant, Administrative Assistant, or similar role, preferably in healthcare.
• Experience supporting senior leadership or executive-level stakeholders.
• Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
• High discretion managing confidential or executive-level information.
• Working knowledge of healthcare terminology, operations, and confidentiality standards (e.g., HIPAA).
• Able to manage multiple stakeholders as a single point of accountability across locations.
• Strong project management skills, with experience leading initiatives across multiple locations.
• Certified Administrative Professional (CAP) preferred, not required.
• Able to mentor peer Executive Assistants.
• Able to work onsite 100% of time.
